Programming Administrative Specialist
Position Summary: The Programming Administrative Specialist provides key administrative assistance to the Chief of Staff and the broader Programming team as needed. This position anticipates and ensures that the Programming team has the necessary tools and is well-positioned for success in the day-to-day operations, asset and live performance licensing, and administration of programming content and experiences in support of KEXP’s mission and Programming Principles.
Essential duties include, but are not limited to:
- Communicates with artists, record labels, KEXP DJs, and relevant Programming staff to secure licenses for all songs, performances, and interviews featured on KEXP podcasts, Live on KEXP, and remote live events, including the Chief Programming Officer as needed for atypical circumstances.
- Creates, tracks, and logs all inbound and outbound licenses in a timely manner.
- Organizes, files, and maintains records of all relevant licensing and podcasting material and information; continually evaluates and improves workflows and processes.
- Schedules, coordinates, and communicates with stakeholders and manages details for podcast production, delivery, and other programming content creation as assigned.
- Ensures that KEXP podcasting content is featured accurately on KEXP properties and on external properties, including podcast platforms and YouTube; works with KEXP Technical Operations team to resolve issues with podcast delivery as needed.
- Coordinates messaging and monetization deliverables between Programming, Advancement, and Business Support with podcasts; ensures incorporation of pre-roll, mid-roll, and post-roll spots as necessary.
- Proactively prioritizes, schedules, communicates, troubleshoots, and confirms on-time completion of assigned action items and deliverables.
- Provides administrative support for the annual DJ review process.
- Provides backup support to the DJ Manager to send out the daily on-air today sheets.
- Provides administrative support as assigned for the Programming team.
General Organizational Responsibilities:
- Maintains thorough understanding of KEXP organizational policies, including employee handbook, procedures, expense reporting, and payroll submission; follows policies and leads by example.
- Actively participates in our culture of philanthropy, which honors the important role our donors, volunteers, business and community partners play in the life of KEXP. Collaborates across teams and departments to steward donors on behalf of KEXP and actively seeks opportunities to integrate philanthropy into their role within KEXP operations, programs, and projects..
Supervision Received: Position reports to the Chief of Staff.
Supervision Exercised: Position supervises volunteers and interns as assigned.
Requirements
Education & Experience: Bachelor’s degree and two or more years of related professional experience, including at least one year of project management; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job as listed above. Experience working in non-commercial radio is a plus.
Position Qualifications:
- Strong organizational skills and attention to detail.
- Project management skills and ability to coordinate multiple projects simultaneously is a plus.
- Knowledge of Microsoft Office, particularly Outlook calendaring, and Google Suite products. Experience with computerized database software.
- Excellent computer skills, including a demonstrated ability to manage digital files and shared spreadsheets.
- Outstanding organizational skills and ability to set and follow through on deadlines.
- Commitment to maintaining confidentiality.
- Strong self-motivation and independence in carrying out responsibilities, organizing and prioritizing multiple tasks, and meeting deadlines.
- Excellent interpersonal, presentation, relationship-building, and communication skills - both written and verbal - for a wide variety of audiences, specifically racially, ethnically, and socioeconomically diverse communities.
- The position may require occasional evening or weekend work due to live events.

Physical Requirements: Long periods of being in a stationary position; operating a computer and other office equipment; frequently moving to/from various work areas; frequently communicating by phone and email; frequently remaining in a stationary position during meetings, discerning meeting content, expressing oneself, and exchanging accurate information; frequently moving to/from off-site meeting and/or event locations; occasionally moves supplies and/or equipment weighing up to 20 pounds.
Working Conditions: Primary location in a typical business office environment, with frequent meetings and event attendance at a variety of off-site locations. This position is eligible for up to 50% remote work.
Compensation & Benefits: This full-time, non-exempt position includes an hourly rate of $32.00 per hour. KEXP offers a generous benefits package which includes medical/dental/vision coverage (premiums 90-100% employer paid), retirement plan with matching, vacation starting at three weeks per year plus holidays and sick leave, parental leave, and much more.
