Background

As our Office Manager, you will play a pivotal role in ensuring smooth operations and supporting the administrative function of our team. You will handle daily tasks like responding to emails, tracking meetings, evaluating tools for our company to use, etc. 

This role is crucial in helping establish the company’s structural framework and workflow. The ideal candidate will be a detail-oriented and organized professional with prior work experience in office management. Key responsibilities include developing the company’s structure, managing general administrative tasks and overseeing office management.

This position reports directly to the founder or the management team.

Responsibilities

  • Providing administration support to the directors.
  • Managing office correspondence.
  • Organizing lunch orders and catering for the office.
  • Providing employee support – ordering business cards, building access cards, fobs, office equipment such as telephones, keyboards etc.
  • Booking travel reservations - hotels, restaurants, cars, flights, etc.
  • General filing.
  • Organizing and evaluating health plans, retirement, and other benefits.
  • Evaluating software to use such as Microsoft vs Google, etc.
  • Publish job postings, review resumes, set up interviews.
  • Assists with budgetary, human resource, and other managerial functions in order to support an efficient organizational workflow.
  • Maintain calendar(s), arrange meetings, conferences and other appointments. 
  • Handle all confidential matters with discretion and good judgment.
  • Assist with team coordination, ensuring seamless communication and task management
  • Assisting with additional ad hoc projects.

Minimum Qualifications

  • Minimum 1 year experience in an office administration, receptionist or similar role
  • Excellent verbal and written communication skills
  • Ability to multi-task and work towards deadlines
  • Proficient with MS Office, Web-savvy (performing research, Cloud files, etc.)
  • Positive attitude and desire to help others
  • Great attention to detail and good follow-up skills
  • Service oriented mindset
  • Reliable, dependable and calm under pressure
  • Be fluent in both English and Korean (speaking and writing)
