Job Summary:
Provide administrative and secretarial support to the Assistant Directors and Coordinators of Special Education and department staff to include serving as the district's custodian for Medicaid records and the district’s child find service specialist.
Essential Duties and Responsibilities:
- Collect and compile student Medicaid records, including obtaining and recording all signed permission slips as required by the Medicaid Consortium guidelines, entering services in Medicaid system for service providers.
- Responsible for accurately documenting services for all Medicaid eligible students; for notifying the district’s providers to submit required billing information on time; for data input of all services provided by staff.
- Receive referrals on children under 5. Contact the referring person and parents. Review referral and schedule screening.
- Schedule preschool evaluations, organize evaluation teams, and distribute referral materials; review Child Find screening records, compile information for evaluation teams, and contact parents with information surrounding screenings and evaluations.
- Facilitate referral to appropriate service provision agency or facility or individual.
- Facilitate and process transportation requests for special education students per their Individual Education Program.
- Support maintenance of budget and documentation of purchases for ABA and Medicaid programs.
- Provide clerical support for Assistant Directors and Coordinators, arranging appointments, taking meetings notes, and scheduling meeting rooms.
- Perform other duties as assigned.
Education, Training and Experience:
- High School Diploma or GED required plus specialized courses in office and secretarial work.
- 2-3 years’ experience in Medicaid software as well as Enrich/Frontline and Infinite Campus preferred; 0-2 years’ experience in early childhood development and human relations.
- Typing skills of 45 wpm.
- Basic computer, accounting and receptionist skills required.
- Knowledge of Medicaid terminology preferred.
- This position requires application of position knowledge to efficiently bill appropriate items to Medicaid and follow Medicaid guidelines.
- Oral and written communication and interpersonal skills.
- Operating knowledge of general office equipment preferred at hire.
- Must occasionally lift and/or move up to 25 pounds.
- Criminal background check and District fingerprinting required.
