Job Summary:
Support the operation of Scholar Development centralized registration by serving as primary contact and support for parents. Under the direction of the site administrators, maintain accurate student records and register students according to established procedures at department/District levels. Provide administrative support to the department by performing various secretarial and clerical tasks as assigned.
Essential Duties and Responsibilities:
- Assist parents with student registration. Answer questions, review documents for accuracy, and enter data into student database. Refer families to appropriate district departments as needed. Register new students and process transfer(s). Review and follow up on incomplete online registration packets.
- Update student demographic data in student database. Support with “no show” student follow ups, truancy processing, and other department processes as needed.
- Operate computer equipment to prepare a variety of documents, correspondence, reports, and related materials utilizing various software, i.e. Microsoft Word, Microsoft Excel, etc.
- Receive visitors and answer and route telephone calls to appropriate staff members.
- Develop, update, and maintain forms for use in the Registrar’s office, and prepare registration packets.
- Assist with federal/state reporting, submitting official student transcripts to secondary education institutions, and verifying student education for background inspections.
- Compile statistical and other information to include special and periodic reports as required by the department, District, and state.
- Perform other duties as assigned.
Education, Training and Experience:
- High school diploma or equivalent.
- Two years of experience in clerical/data entry.
- Microcomputer, computer hardware and software, math, and training skills. Thorough knowledge of technical aspects of field of specialty.
- Operating knowledge of basic statistical and record-keeping techniques; data entry and report generation; modern office practices, procedures, and equipment; and Microsoft Word/Excel required for hire.
- Bilingual oral and written communication skills preferred.
- Ability to communicate professionally, both verbally and in writing, with all staff, parents, students, and community members, and work flexible work schedule to provide coverage before and beyond the instructional day to accommodate parent and student schedules.
- Ability to interpret, apply and explain provisions of federal, state and District regulations related to admissions and records; work independently with little direction; and plan an organize work efficiently.
- Ability to maintain confidentiality in all aspects of the job; promote and follow District policies and building and department procedures; and communicate, interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds.
- Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment, and report unsafe conditions to the appropriate administrator.
- Criminal background check and District fingerprinting required.
