Senior Executive Assistant

The main purpose of the position of the Senior Executive Assistant is to provide high-level administrative support to the President, manage the day-to-day operations of the President's Office, and lead the coordination of the facility rental program. This role requires exceptional communication skills and the ability to handle sensitive matters with diplomacy. 

 

 

ESSENTIAL JOB FUNCTIONS:

  1. Serve as the primary point of contact and represent the President’s Office to faculty, staff, parents and students
  2. Assist, manage, and proof the President’s office communications, reports, presentations, and correspondence
  3. Assist President in meeting preparation and coordination (Board of Trustees, Executive Council, etc.)
  4. Prepare agendas, attend and take meeting minutes, manage various calendars prioritizing time-sensitive requests
  5. Prepare, maintain and help grow facility rental program maximizing building usage working across departments
  6. Administer and assist with staff and faculty recognition programs
  7. Serve as liaison to the BGCT in matters related to various committees, Board of Trustees, etc.
  8. Plan, organize, and help implement Academy events hosted by the President’s Office
  9. Maintain organized records of facility rentals, board meetings, and other key administrative areas
  10. Perform other duties as assigned by the President

This position opening is one of multiple possible administrative support opportunities at SMA that is not solely in the Office of the President. Candidates selected for an interview could be considered for a similar administrative role. 

 

Requirements

 

  1. Strong communication, public relations, organizational and interpersonal skills
  2. Above-average computer, proofreading and grammar skills to include experience with the following: telephone, Google Workspace, Microsoft Office, mail merge programs and other office equipment
  3. Ability to multitask and prioritize while maintaining confidentiality
  4. Experience in, or the ability to, tactfully interact with key executives, donors and other stakeholders
  5. Flexible hours, including evenings and weekends, to accommodate Academy programs and events

 

Preferences

· Some college course completion

· Mid-February 2025 start date
