Legal Assistant

Job Summary:

The Legal Assistant’s primary goal as part of the legal team is to complete administrative and lower-level legal tasks so the Paralegal and Attorney’s time can be spent working on more advanced substantive work. Assigned support tasks under the direction of an Attorney might include drafting legal forms, documents, and correspondence; calendaring deadlines and reminders; communicating with clients via email, phone or in person; copying, scanning, and filing records; updating records in the Case Management System (CMS); and completing miscellaneous tasks assigned by senior members of the legal team. Legal Assistants provide quality legal services to our clients at a lower billable rate than an Attorney or Paralegal, and by doing so, benefits both the Firm and our clients.

Essential Duties (ON SITE TRAINING):

  • Drafts Legal Forms, Documents and Correspondence
    • Prepares lower level drafting assignments, such as completing templated forms or basic documentation for Attorneys to review and approve
    • Proofreads all work prepared prior to submitting to Paralegals or Attorneys
  • Calendar Deadlines and Reminders
    • Enters deadlines into the Firm’s Master Calendar
    • Enters reminder tasks into the CMS
  • Communicate with Clients via Email, Phone or In Person
    • Calls to follow up with Clients to obtain missing documents or information
    • Calls to relay information on behalf of the Paralegals and/or Attorneys as requested
  • Copy, Scan and File Records
    • Performs basic administrative support functions such as copying, scanning and filing client records
    • Maintains filing both electronically and physically
    • Uploads client files electronically into the CMS
  • Opens and Closes Client Files Physically and Electronically
    • Upon engagement, ensures that PNC records are transferred from the CRM to the CMS
    • Opens Matters for the client in the CMS
    • Ensures payments are received upon opening the matter and prior to closing
    • Ensures File Closing procedures are completed
  • Updates records in the CRM or CMS
  • Completes miscellaneous tasks assigned by Paralegals or Attorneys
  • Serves as backup to other administrative positions when they are out of the office or in need of extra support
  • Reporting – Produce weekly and monthly reports as determined by Attorneys.

Education & Experience:

  • Requires a High School Diploma or equivalent
  • Requires 1+ years’ experience working in an office performing administrative duties
