The Marketing Specialist (Operations) reports to the Manager of Marketing Operations and plays a key role within the Marketing & Communications team. This position supports the team’s efficiency and effectiveness by handling a variety of marketing, social media, corporate communications, public relations, digital, and administrative tasks. The role focuses on streamlining processes and ensuring smooth operations within the department.

Position Responsibilities:

  • Onboarding: Support the marketing and communications deliverables for onboarding new sales professionals which include bios, headshots, communications/announcements, and more
  • Asset Management: Maintain and manage the photo library (headshots) and marketing collateral library to ensure accessibility and organization including scheduling and coordination of photo shoots for new employees
  • Branded Merchandise: Coordinate apparel and branded merchandise for special events and other needs
  • PowerPoint Support: In partnership with team members and/or business partners create and update PowerPoint presentations for various audiences, ensuring brand consistency and high-quality visuals
  • Reporting: Assist with weekly and annual department reporting and support the annual strategic planning process
  • Inbox Management: Triage and respond to inquiries from the department email box
  • Report Preparation: Prepare ad-hoc reports, as requested, to support department initiatives
  • Meeting and Event Support: In partnership with the Meeting & Events team, provide logistical support that enhances the attendee experience such as welcome packages, branded merchandise coordination, and overall process management
  • Documentation: Playbook department processes and procedures to support consistent operations and knowledge sharing
  • Digital & Social Media Support: Assist with social media campaign execution and coordination of content for Northmarq.com
  • Financial Support: Oversee department invoicing processes and financial reporting
  • E-mail Marketing: Leverage templates and coordinate the creation of routine content for distribution by email marketing campaigns
  • Team Event Coordination: Plan and coordinate team training, meetings, and events for our department
  • Project Coordination: Manage or support various projects as needed, ensuring timelines and goals are met
  • General Administrative Tasks: Perform administrative tasks, including meeting logistics, catering, and other support as assigned

What We're Looking For:

  • Bachelor’s degree required. Will consider commensurate professional experience in lieu of education
  • 3+ years’ experience performing professional project management, ideally in a marketing or communications/PR department
  • Proven experience in a marketing, communications, or social media coordinator role, or similar
  • Strong organizational skills including the ability to juggle multiple tasks, deadlines, and stakeholder requests
  • Strong interpersonal skills, able to collaborate and engage with people at all levels of the company
  • High attention to detail
  • Flexible and adaptable to a dynamic work environment
  • Strong ability to problem-solve and manage multiple efforts simultaneously
  • Excellent written and verbal communication skills
  • General knowledge of traditional marketing and communications areas of expertise, such as media/PR, events and tradeshows, print production, websites, intranet, email marketing, and graphic layout/design
  • Knowledge of email platforms and website content management systems is preferred.
  • Strong experience in PowerPoint, Word, Excel, and other Microsoft programs – Asana experience a plus
