Administrative Assistant

This position reports directly to the Practice Manager.  This position assists with the day-to-day office activities and responsibilities.  This position must quickly and efficiently respond to requests from clients/therapists with kindness and professionalism to maximize tenant and client retention.  While maintaining confidentiality and  HIPAA compliance, this position also helps to maintain a clean, professional and welcoming therapeutic environment. Dependability is a must!

Duties and Responsibilities:

 

  • Greet visitors (without disclosing their names/identity) and notify therapists by text message that their client has arrived. - Maintain confidentiality and proper boundaries with all.
  • Audit Student Payment Logs Weekly - Notify students and Practice Manager on any issues.
  • Coordinate and schedule weekly room assignments. 
  • Assist student therapists and other tenants as needed.
  • Wipe down hard surfaces, including glass doors, and  straighten up magazines and pillows periodically throughout the day.
  • Empty trash containers in offices, lobby, kitchen, front desk, group room and playroom daily.
  • Clean the refrigerator weekly.
  • Empty/Load dishwasher as needed.
  • If first person here in the morning:
    • Unlock and wipe down glass doors.
    • Turn on music, lights, sound machines and diffusers.
    • Restock coffee, tea, condiments, cups, tissues, etc.
    • Fill coffee pot with water.
  • Maintain daily “in” and “out” logs. - Ensure daily and weekly renters are logging their hours.
  • Accept and manage deliveries and mail.
  • Ensure client confidentiality is maintained at all times.
  • Work with the Practice Manager to update the RRC website as needed.
  • Responsible for marketing all new students and tenants in the office.  (Wall Frames)
  • Monitor and update all RRC social media platforms.
  • Communicate to the Practice Manager when items need to be ordered.
  • Assist with training, workshops, group therapy, parties, and other events. 

 

This is an entry level position.  Social media experience a plus.  Salary depending on experience.
