Administrative Assistant
Employment Enterprises, Inc. is working with a client-first investment firm based in Northern Virginia. We are searching for a customer service-oriented individual to fill our need for an Administrative Assistant. This role is diverse, with responsibilities that include reception coverage, processing mail and checks, vendor and inventory management, assistance with food service, and events. This is an onsite position in Charlottesville, VA paying $25-$28 per hour.
Administrative Assistant Responsibilities:
- Operate a multi-line switchboard and transfer calls.
- Maintain proper appearance of reception and entry way.
- Greet clients and guests as they arrive; contact employee(s) for arrival.
- Request Uber rides for clients upon their departure, as needed.
- Schedule conference rooms as requested via phone or email, etc. and maintain calendar via Outlook.
- Schedule hand couriers as needed.
- Process and distribute incoming mail on a daily basis in line with firm procedures.
- Manage incoming packages and tracking.
- Process checks.
- Manage remote scanning and deposit requirements.
- Manage office supply inventory, purchasing and vendor escalation.
- Receive all incoming mail, deliveries and communicate scheduling with couriers.
- Schedule and assist with setup of conference rooms before/after meetings.
- Manage food service inventory.
- Develop and maintain vendor relationships.
- Create menus and place catering orders.
- Keep shared colleague space/kitchens stocked.
- Oversee day porter work to ensure all kitchens and shared spaces are clean, organized, and well stocked.
- Coordinate internal and external events.
Administrative Assistant Qualifications:
- Ability to provide excellent client service.
- Complete full background check and fingerprinting.
- Illustrates tact, discretion and good judgement when handling sensitive and confidential information.
- Knowledge of MS Word, Excel and Outlook.
- Superior written and oral communication skills.
- Ability to set goals and meet deadlines.
- Some evening event coverage is required.
- Professional demeanor.
- Highly organized and detail oriented.
- Ability to work in the Baltimore office location.
