What do we need?
The Recruiting and Retention Specialist assists in the coordination of Human Resources activities such as recruiting, pre-employment, staff retention, and post-employment. Ensures compliance with all internal HR policies and COA. Assists in the light duties required by the department. The recruiter is responsible for the full life cycle of recruitment: recruiting, screening, and onboarding.
Essential Functions:
- Compiles and maintains employee information such as personal data, wages, compensation, tax data, and termination dates. Updates employee files and corresponding spreadsheets to document accurate information for payroll and other uses.
- Assists in the recruiting and pre-employment process to fill vacant positions as needed to meet the goals of the programs and job requisitions. Manages current candidate activity and applications in the applicant tracking system (ATS). Participates in recruitment efforts for exempt and nonexempt personnel (excluding managerial levels and above); maintains applicant flow logs.
- Follows up with the related clerical aspects of employment, such as notifying staff of internal opportunities, informing the respective department and front desk staff of employee's starting date.
- Assists in the hiring process by coordinating job postings on the ATS and other recruiting websites to actively recruit, reviewing resumes, scheduling interviews along with the hiring managers, screening, and interviewing applicants, and conducting reference checks.
- Schedules and attends job/career fairs. Uses traditional and nontraditional resources to identify and attract quality candidates. Writes and places advertisements.
- Performs background checks, acquires, and conducts reference checks, requests and schedules new-hire drug and TB testing, and all other necessary documentation and screenings in compliance with St. Joseph Children’s Home internal policies.
- Extends verbal, contingent job offers and drafts employment agreements.
- Assists in the post-employment process to ensure that all new employee training requirements provided by HR are met. Completes monthly report on hiring and applicant activity and statistics. Conducts exit interviews with terminating employees.
- Maintains control of personnel files and confidentiality of privileged information. Conducts employment verifications. Assists Director of HR in special projects, as needed.
- Audits personnel files weekly for OIG and COA compliance.
- Maintains a presence on the employee appreciation committee, including attending meetings, creating monthly newsletter, employee recognition emails, coordinates free monthly staff meals and employee of the month.
- Assist in coordinating with Advancement department all required volunteer background check paperwork – i.e., application, background checks (CAN, AOC, Sex Offender, ABSCO), all necessary onboarding and annual paperwork, maintenance of volunteer software, and volunteer shared spreadsheet.
- Track and run annual background checks on current employees and assist with renewing fingerprints.
- Assists with New Employee Orientation (NEO) as needed.
Education and/or Experience:
Minimum of High School education or GED; 2 years experience in Human Resources, office equipment and filing. Basic understanding of using Microsoft programs. Associate degree preferred but not required.
