Administrative Assistant
Listed below are the administrative assistant duties but are not limited to these tasks:
• Answer phones, transfer calls, and send messages
• Greet guests to office
• Order and maintain office supplies and business cards
• Order and maintain kitchen supplies (coffee, paper plates, paper towels, etc.)
• Miscellaneous typing (meeting notes, meeting agendas, etc.)
• Process incoming and outgoing mail, FedEx, and courier deliveries
• Light kitchen tasks (make coffee, run dishwasher, etc.)
• Keep office lobby, kitchens and conference rooms tidy
• Order breakfasts or lunches for meetings, as needed
• Restock conference room refrigerators
• Conduct general oversight of office conditions and submit office maintenance orders
• Schedule and maintain proper maintenance of office copier machines and company van
• Maintain subscriptions to office periodicals
• Assisting marketing team with proposal production (printing, making tabs, binding, etc.)
• Process time off request forms, employee check out of office van, cameras & CR
• Help and lead the monthly birthday party and annual company holiday party
• Assist in scheduling events, i.e., Christmas parties etc., meetings and appointments
• Other duties as assigned
Listed below are the marketing assistant’s duties but are not limited to these tasks:
Proposal document creation
PowerPoint presentations
Presentation board creation
Conference exhibit coordination
Write media releases
Maintain resumes current of staff
Track future projects by monitoring websites and other media outlets
Maintain client contact files
Coordinate client holiday card list
Assist engineers in writing technical articles
Select & order company promotional items
Assist the office administrative staff
Conduct and coordinate marketing meetings
Other duties as assigned
