Position Purpose
 
Plans, organizes, and coordinates the development, planning and proposal of all grant-funded projects to support the District’s educational goals and strategies.  Supports complex projects at all campus and department levels. Liaises with community-based organizations, institutes of higher education and grantors of all varieties.  Supports the communication of grant guidelines, program policies, District policies and procedures; maintains organizational and managerial accountability structures, and guides and coordinates the implementation of grant programs.  Collaborates with district and school leadership and administrative staff and assists eligible campuses and departments in understanding grant requirements and preparing their campus/department funding plans; maintains appropriate documentation, and ensures adherence to federal, state, and local policies and procedures.
 
 
ESSENTIAL JOB FUNCTIONS
 
Grant Management
 

  • Monitors and coordinates the administration and budget usage of post-award state and federal grants to ensure that problems are addressed and resolved during the grant period, and that grant reports are compiled and filed by state and federal deadlines.
  • Guides and assists in the implementation of grant action plans, including facilitating grant management meetings, maintaining activity logs and timelines, tracking major milestones, and corresponding with grant owners regarding budgets, documentation and compliance.
  • Facilitates grant management and communication processes (such as agendas, templates, time and effort logs, announcements minutes).
  • Serves as liaison between District departments and campuses, granting agencies, and the Division of Business & Finance in both initial budgeting, budget maintenance, and management of proposed and granted awards.
  • Applies knowledge of accounting, budget, and project management practices within the framework of District procedures to help accomplish goals of grants.

 
Grant Development
 

  • Assists in the planning and preparation of grant proposals influencing departments and/or campuses in the District.
  • Maintains and gains knowledge of federal and state funding policies, requirements, and procedures; disseminates information to departments and campuses, and advises on change.
  • Coordinates relationship with private, non-profit service partners by developing processes and providing consultation.
  • Plans, organizes, and provides project management structure to activities of grant administration which are not routine activities for the grant recipients.

Knowledge, Skills & Abilities
 

  • Knowledge of federal and state laws regarding education and students to ensure compliance.
  • Knowledge of applicable District policies and procedures.
  • Knowledge of the grant writing process and financial recordkeeping procedures.
  • Knowledge of business English, spelling, general vocabulary, and arithmetic.
  • Knowledge of records administration and maintenance techniques and procedures.
  • Knowledge of data information systems, data analysis and the formulation of action plans.
  • Skill in performing basic mathematical calculations with accuracy.
  • Skill at the intermediate level, working with Microsoft Office 365, especially Outlook, PowerPoint, and Word.
  • Skill in communicating effectively in writing as appropriate for the needs of the audience.
  • Skill in researching and writing, with a strong knowledge of business correspondence formatting, including language, grammar, and punctuation.
  • Ability to work with a diverse group of individuals.
  • Ability to present information in one-on-one, small group, and large group situations.
  • Ability to accurately prepare and maintain records, files, and reports.
  • Ability to use software to access databases, email, create spreadsheets, and do word processing.
  • Ability to organize and coordinate work.
  • Ability to communicate effectively, in both oral and written forms.
  • Ability to engage in self-evaluation with regard to performance and professional growth.
  • Ability to establish and maintain cooperative working relationships with others contacted in the course of work.

 
Travel Requirements
 

  • Travels to school district buildings and professional meetings as required.

 
Physical & Mental Demands, Work Hazards
 

  • Tools/Equipment Used:  Standard office equipment, including computer and peripherals.
  • Posture:  Prolonged sitting and standing; occasional stooping, squatting, kneeling, bending, pushing/pulling, and twisting.
  • Motion:  Frequent repetitive hand motions, including keyboarding and use of mouse; occasional reaching.
  • Lifting:  Occasional light lifting and carrying (less than 35 pounds).
  • Environment:  Works in an office setting; may require occasional irregular and/or prolonged hours.
  • Attendance:  Regular and punctual attendance at the worksite is required for this position.
  • Mental Demands:  Maintains emotional control under stress; works with frequent interruptions.

 
Minimum Required Qualifications

  • Education:
    • Bachelor’s degree from accredited college or university required.
  • Certification/License:  None.
  • Experience:
    • 2 years’ related experience in one or more of the following areas:
    • Grant and/or proposal writing, technical writing, creative writing, literature, publishing, editing, journalism, mass communication, project management, monitoring compliance for grants and projects, or other grant-related involvement preferred.
    • Experience in accounting, budgeting, project planning and management, training, or researching supplemental funding preferred.
