The Patient Services Assistant at The Center for Health and Prevention Reproductive Healthcare Clinics performs a variety of front and back-office responsibilities. This role is crucial in facilitating clinic flow, maintaining medical records, and entering data into the Practice Management System/Electronic Health Records (PMS/EHR). Additionally, the assistant provides education to all clients and ensures adherence to federal, state, and grant requirements. By supporting CAPSLO’s mission, the assistant provides clerical assistance in patient registration, ensuring that patients are treated with respect and can see the medical provider expediently.
We would love to hear from someone who:
- Has a Medical Assistant (MA) certificate, CNA Certificate or has onsite training.
- Has 6 months of experience in a medical practice. (Preferred)
- Is Bilingual/Biliterate (Preferred)
- Has a High School Diploma, or GED
- Has a Valid California Driver’s License and an acceptable driving record.
As a Patient Services Assistant You Will:
- Answer multi-line phone system, directs and routes calls. Take messages and schedules clinic appointments for all clinic sites. Make phone calls to clients to confirm appointments and schedules various follow-up appointments as needed.
- Greet clients and visitors and provide assistance, general information and referrals to all inquiries.
- Maintain confidential client medical records in accordance with established procedures and standards. Enter all patient data into the PMS/EHR.
- Maintain front-office flow and adheres to customer service policy standards for the clinic. Maintain cleanliness of all patient areas in the clinic.
- Collect fees and donations and issues receipts. Prepare daily deposits and faxes deposit forms to Administration.
- Processes requests for medical records and facilitates prescription refills.
- Assists with training clinic volunteers, interns, and new staff.
- Monitors inventory and lab supplies.
- Performs HIV and Hep C testing and counseling.
- Assists with billing to include denials
- Monitors brochures and clinic handouts.
Additional Eligibility Qualifications:
- Must be able to relate well to all people of the community regardless of color, national origin, religion, sex, pregnancy, age, marital status, veteran status, sexual orientation, disability or socio-economic level.
- Must be at least 18 years of age by date of hire.
- Must comply with the CAPSLO COVID-19 Vaccination Policy, either being fully vaccinated or sign a COVID-19 vaccination declination form.
- Based on the program, a current TB skin test/Chest X-Ray may be required.
- Employment is contingent upon meeting all applicable job requirements and background requirements. A criminal history clearance is required prior to employment.
- Upon hire, agency staff will check the Megan’s Law (or the current sexual predator website) to ensure each staff being hired is clear for employment. Agency staff will check the website annually to ensure all program staff are cleared to work.
