About this Position
The Administrative Assistant performs administrative office work for the Engineering Department. The admin assistant organizes tasks, develops workflows, coordinates and handles unanticipated tasks, and manages correspondence. Responsibilities
- Provide administrative support for the department, including preparing reports, performing research, completing special projects, participating in meetings, etc.
- Provide training and technical assistance to staff, particularly the Admin Specialist
- Participate in the continuous improvement of internal processes and procedures
- Assist with preparing and maintaining the annual budget
- Review, process, and ensure proper execution of contract documents, agreements, and change orders
- Create and monitor workflows in permitting software
- Assist with preparation of billing reports and invoices for capital improvement projects
- Prepare and distribute public meeting agendas and notifications
- Create purchase orders, requisitions, and revenue deposits
- Track expenditures, process invoices, and reconcile department credit card(s) monthly statements
- Serve as the department liaison for Travel and Training, and coordinate travel arrangements and accommodations
- Coordinate device and software needs of the department
Qualifications
- General knowledge equivalent to two (2) years of college
- 2 years of related experience and/or training
- Or equivalent combination of education and experience
- 12 to 18 months of management experience
- People and/or project management
- Valid Oklahoma Driver's License and a driving record acceptable to the City's insurance carrier
Necessary Skills
Ability to use computer applications (i.e., Microsoft Word) and learn specialty software
- Ability to multitask in a workspace with frequent interruptions
- Strong organizational skills
- Adaptability to organize material for changing deadlines
- Ability to maintain confidentiality
- Ability to meet the required physical standards for this position
- Ability to pass extensive background process and pre-employment drug and audio screenings
