Membership Coordinator
The Membership Coordinator provides administrative assistance to the Site Coordinator & Pathway Director in record maintenance, data gathering and analysis, building Club member relationships, and interacting with such internal stakeholders as parents, guardians, school faculty, staff, volunteers and other visitors.
MAJOR DUTIES AND SPECIFIC RESPONSIBILITIES (Inclusive, but not limited to):
- Acts as the “public face” of the Club by serving as the front desk receptionist and phone operator.
- Manages and maintains all records for Club members using both electronic as well as “hard copy” record management systems.
- Processes membership applications and fee payments in accordance with Club guidelines, BGCA requirements and Generally Accepted Accounting Procedures.
- Maintains office equipment including phones, radios, copiers, fax machines and computers.
- Provides for the security of the business office and of all Club materials kept in the office for safekeeping (e.g. board games, gaming/electronic equipment, first aid supplies, etc.).
- Supports the Site Coordinator in maintaining data and completing all required internal and external reporting processes.
- Provides for the safety and health of all Club members, staff, and outside groups through effective front desk communication.
- Coordinate with schools and administrative staff on program updates, events, closures, etc.
- Adheres to check in and check out policies and procedures to ensure the safety of the members at all times. Communicates safety policies and procedures to staff, parents, and the community.
- Protects the privacy of all confidential information including member and staff information. Disposes of documents that have member names or other private information.
- Attend regularly scheduled meetings.
Other
- May be required to drive Club vans.
- Assistance with some special events may be required.
- Other duties as required.
EXPERIENCE AND QUALIFICATIONS REQUIREMENTS:
- Post secondary education, trade, vocational, apprenticeship, or other equivalent.
- Effective interpersonal skills (including oral and written communication).
- Possess the ability to deal effectively with parents, community leaders, educators, administrators, other staff and volunteers.
- Familiarity with membership database administration (Kidtrax) preferred.
- Experience in overall problem solving.
- Ability to use basic electronic tools to design and implement reporting programs as well as the utilization of BGCA approved methods.
- Spanish language skills highly preferred, but not required.
- Proficient in computer skills and familiarity with Microsoft Office suite.
- Able to interact well at various levels of the organization, as well as work with a wide variety of people and personality types.
- Working knowledge of the physical, cognitive, emotional and social development needs members.
- Ability to be flexible and to adapt to changing priorities.
- Excellent organizational skills, including the ability to work with multiple projects concurrently, prioritize workload, and consistently meet deadlines.
- Strong attention to detail and ability to work with a high degree of accuracy.
- Self-starter with a high degree of initiative.
- Ability to work well independently and as a member of teams.
- Ability to build and maintain relationships.
- Positive and professional attitude and demeanor.
- Ability to maintain confidentiality of member information.
- Valid Iowa State Driver’s License and a clean driving record.
- Ability to earn mandatory CPR and first aid certification.
- Ability to pass a background check.
RELATIONSHIPS:
Internal: Maintains close, daily contact with BGCCI members, staff and volunteers to interpret and explain program objectives and standards, discuss issues, and provide/receive information. Maintains regular contact with BGCCI administration, Teen Coordinator, & Pathway Director. Has ongoing contact with members as needed to discipline, advise, and counsel.
External: Maintain contact with other Clubs, vendors, consultants, organizations, parents and general public to achieve program goals and objectives, manage costs, share information and resolve problems. Able to recognize and assist families with needs as they arise.
