Events Coordinator Intern

Job Summary: 

The Events Coordinator Intern will assist the Executive Office Manager in planning coordinating and executing onsite and offsite meetings and events. This entry-level position is designed for individuals seeking hands-on event and travel management experience in a dynamic and fast-paced environment. The role focuses on supporting meetings and events' logistical and operational aspects ensuring they run smoothly and successfully.

Supervisory Responsibilities: 

This position has no direct supervisory responsibilities. 

 

Essential Duties and Responsibilities: 

Event Support: Assist with the coordination and execution of various meetings and events including division and executive summits and retreats associate social events and incentive trips.  Tasks include setup and teardown registration attendee assistance and general on-site event support.

Logistics Management: Help with the logistical planning of events such as coordinating with vendors arranging supplies managing event materials and securing lodging and transportation.

Communication Assistance: Support the Executive Office Manager in promoting events by helping to draft and distribute event-related communications.

Stakeholder Interaction: Assist with attendee and vendor communications before during and after events to ensure all parties are informed.

 Data Entry and Reporting: Collect and enter data related to event attendance feedback and other metrics. Assist in creating post-event reports to evaluate success and areas for improvement. 

Cross-functional Collaboration: Work closely with internal teams to ensure that events align with the objectives and contribute to overall meeting and event goals. 

General Administrative Support: Provide general administrative assistance as needed including—but not limited to—scheduling meetings preparing materials and maintaining event-related documentation.

 

Skills/Abilities: 

Interest in event planning and coordination with a desire to learn and grow in the field. • Strong organizational skills and attention to detail.  

Ability to juggle multiple tasks and manage time effectively with a proven ability to meet deadlines.

Excellent communication skills both written and verbal. 

Proficiency with Microsoft Office Suite (Word Excel PowerPoint) and Google Suite. 

Familiarity with event and meeting A/V platforms and equipment.

Ability to work collaboratively as part of a team while being self-motivated and proactive.

Willingness to work flexible hours including early morning and evening hours.

Excellent interpersonal and customer service skills.

Education and Experience:  

Currently pursuing or recently completed a degree in Event Management Hospitality Marketing Communications or a related field. 

At least two years of experience in customer service retail event planning or related field.

Physical Requirements: 

Lift carry push and pull: The individual in this position typically lifts and carries objects not weighing more than 50 pounds generally mail and event supplies.

Standing and walking: Frequently stand or walk for long periods especially during events.

Occasionally there may be periods of sitting at a desk and working on a computer.
