Program & Marketing Coordinator
Westown Association is a downtown Milwaukee non-profit business association involved in economic revitalization and promotion of the area west of the Milwaukee River. The organization’s staff works with the volunteer board of directors, committees and local business leaders to promote and program the downtown Milwaukee district. The organization also oversees the administration of Business Improvement Districts #5, #15 and the Old World Third Street Entertainment District Association. Westown Association has a small office working atmosphere that is unique, energetic and fun.
The Program & Marketing Coordinator is a full-time position focused on the support of the 501c3 organization’s administration and marketing operations, as well as special events including the St. Patrick’s Day Parade and Milwaukee Night Market. This individual reports to the Executive Director for administrative functions and provides support to the Marketing & Events Director for marketing and events tasks.
Essential duties and responsibilities as assigned by the Executive Director and Marketing & Events Director include, but are not limited to:
- Assist with developing social media strategy for Westown & event social media channels including Facebook, Twitter, Instagram, TikTok & LinkedIn
- Prepare & schedule social media content across Westown & event channels
- Maintain content on westown.org, mkenightmarket.com & saintpatricksparade.org including current events, news articles & member listings, as well as updating design of sites as needed
- Write blog content highlighting the Westown neighborhood, our members & events
- Write content for monthly Westown eWire & special event newsletters
- Assist with graphic design as needed for social media & Westown/event collateral such as brochures, posters, signage, invitations, presentations, etc.
- Assist with event coordination for Milwaukee Night Market, St. Patrick’s Day Parade & Westown Golf Open. Responsibilities include, but are not limited to: supporting vendor recruitment, curation & acceptance process, serve as point of contact for vendors, entertainment & production partners, managing deliveries, managing & organizing event supply inventory, soliciting & collecting raffle/auction prizes, etc.
- Assist with on-site event production for Milwaukee Night Market, St. Patrick’s Day Parade & Westown Golf Open. Responsibilities include, but are not limited to: set-up/tear-down of event infrastructure, vendor load-in/load-out, on-site social media management, managing volunteers & support staff, solving problems as situations arise, etc.
- Manage membership processing which entails creating and sending member invoices, tracking payment, updating member contacts, developing membership brochures & prospecting for new members
- Manage general office & administration functions which may include the following: answering phones, greeting guests, opening mail, coordinating mass mailings, updating various contact lists, annual audit support, filing, bank deposits, sending/tracking invoices, ordering office & event supplies, running event errands & other projects
- Assist with coordination & execution of board & committee meetings: Secure meeting location, send out calendar invites, track attendance, prepare meeting packets, procure refreshments, run Zoom during virtual/hybrid meetings & take meeting minutes
- Assist with planning annual membership meeting & other special meetings as needed
- Represent Westown Association at various meetings as directed by Executive Director (some may occur outside of the traditional workday)
- Assist with managing task delegation to seasonal interns at the direction of Marketing & Events Director
Qualifications
- A bachelor’s degree or associate’s degree are preferred
- Experience with various social media platforms
- Experience with Microsoft Suite, QuickBooks, Constant Contact, Word Press, Canva & Adobe programs preferred
- Strong written & oral communication skills
- Ability to work in a fast-paced environment
- Organized, detail-oriented, capable of managing multiple tasks & solving problems
- Self-starter who is energetic, outgoing & learns quickly
- Ability to work with a variety of people from diverse backgrounds
- Ability to work under pressure & manage deadlines independently
- Ability & comfort with navigating an urban environment required
- Familiarity & interest in Downtown Milwaukee is helpful
- Ability to lift objects of various sizes & weights up to 50lbs & to be on your feet for long hours on event days
- Ability to attend meetings & events outside the traditional workday when necessary
Compensation & benefits
Salary range $40,000-$45,000 annually based on qualifications and experience. Westown Association offers a generous benefits package which may include health, dental and disability insurance, along with paid time off and parking.
