Office Administrator

You will play a primary role in ensuring that all office administrative functions are coordinated to achieve a high level of productivity and delivering a great first impression of all BBI Brands. This individual will bring resourcefulness, multi-tasking skills and have a knack for keeping cool under pressure. 

What you’ll be doing. 

  • Further develop office culture and create a positive, welcoming environment for everyone by greeting and assisting all visitors in our office as the first point of contact or gatekeeper  
  • Answer inquiries, communicate the arrival of visitors, and direct them where to go  
  • Answer and direct phone calls to appropriate personnel 
  • Provide support for office functions, including setting up meeting rooms, assisting with office moves, and addressing employee requests related to office facilities 
  • Assist with general facilities maintenance tasks, coordinating with building management as needed 
  • Manage relationships with vendors and suppliers, ensuring timely delivery and quality of goods and services 
  • Process, sort, and route incoming and outgoing mail  
  • Monitor and manage inventory of office supplies; order and distribute office supplies as necessary 
  • Ensure the office space is tidy and organized, maintaining a clean and professional environment 
  • Prepare conference rooms for meetings and organize catering, as needed 
  • Regularly stock and organize kitchen and break room supplies 
  • Maintain detailed calendars, coordinate schedules, prioritize meeting requests and logistics, and arrange all aspects of travel 
  • Establish and maintain record-keeping system for contacts, files, and employee directory 

 

What you’ll bring to the table. 

  • Bachelor’s degree preferred  
  • 1+ years of relevant experience in an office setting, preferably in an administrative or clerical   
  • Excellent organizational skills, ability to prioritize, and comfortable working independently  
  • Exceptional oral and written communication skills  
  • Must be committed to providing outstanding customer service and demonstrate strong interpersonal skills  
  • Strong attention to detail  
  • Proficient computer skills and ability to operate general office equipment
