Description
Job Summary: We are seeking a highly organized and proactive Executive Administrative Assistant to support our Sr. Vice President of Engineering. The ideal candidate will be a detail-oriented professional with exceptional communication skills and the ability to manage multiple tasks efficiently. This role requires a high level of discretion, professionalism, and the ability to work independently.
Key Responsibilities:
Executive Support: Provide comprehensive administrative support to the Sr. VP of Engineering, including scheduling meetings, managing calendars, and coordinating travel arrangements.
Communication: Serve as the primary point of contact between executives and internal/external stakeholders. Draft, review, and manage correspondence and communications.
Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and minutes. Ensure follow-up on action items.
Project Management: Assist in the planning and execution of special projects and initiatives. Track progress and ensure timely completion.
Office Management: Oversee office operations, including supply management, equipment maintenance, and vendor relations for the Sr. VP of Engineering.
Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality.
Event Planning: Coordinate company events, conferences, and executive off-site, ensuring all logistics are managed effectively.
Documentation: Maintain and organize files, records, and documentation for easy retrieval and reference.
Reporting: Directly report to the Sr. Vice President of Socionext America, providing regular updates and insights on administrative matters.
Qualifications:
Education: Bachelor's degree in business administration, Communications, or a related field preferred.
Experience: Minimum of 1-2 years of experience in an executive administrative role, preferably within the semiconductor or technology industry.
Skills:
o Exceptional organizational and time-management skills.
o Strong written and verbal communication abilities.
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
o Experience with travel arrangements and itinerary management.
o Ability to work overseas hours as needed to support global operations.
o Familiarity with administrative software and tools.
o High level of professionalism and discretion.
o Strong problem-solving skills and attention to detail.
