The Office of the Insurance Commissioner's (OIC) public affairs unit is seeking a motivated and qualified individual to fill an Administrative Assistant 4 position. This position directly supports the Deputy Commissioner of Public Affairs in our Tumwater office.

This is a Washington General Service position. The monthly salary range for this position is $3,999 - $5,370

Duties

The duties of the position include, but are not limited to: 
 

  • Provides direct scheduling, conference room and administrative support for Public Affairs team.

 

  • Coordinates logistics of meetings with OIC staff, other agencies, media, stakeholders and state and national organizations as required

 

  • Assists Public Affairs staff with the preparation of press releases, talking points, budget requests, and other materials for executive, legislative and internal meetings, and presentations.
     
  • Monitors the Public Affairs phone line and media requests to ensure timely delivery for Public Affairs staff.
     
  • Tracks and identifies requests for speakers; coordinates logistics, helps prepare relevant staff, reviews talking points, and tracks deadlines for Deputy of Public Affairs to ensure timely completion.

 

  • Uses independent judgment and knowledge of program workload and deadlines to prioritize and triage requests for meetings, deliverables or information directed to Public Affairs staff.
     
  • Assists in the review of correspondence to ensure documents are edited for organization, terminology, clarity and/or proper grammar.

 

  • Proactively reviews operating procedures and problems; develops solutions and/or recommendations for process improvements and maintains an up-to-date manual of all work duties.

 

  • Arranges travel and training for Public Affairs Staff; maintains supporting documentation.

 

Required Education and Experience:
 
High school graduation or GED
 
AND
 
Four years (4) of progressively responsible experience in a professional office/clerical, secretarial or general administrative office environment supporting senior level and/or executive leadership.

*A bachelor’s degree with a focus in business administration, public administration or related field from an accredited institution whose accreditation is recognized by the U.S. Department of Education or the Council of Higher Education Accreditation for a foreign equivalent will substitute for up to 4 years of professional work experience.
 
AND
 

  • Intermediate skill level in Microsoft Office 365 applications including Word, Excel, PowerPoint, Outlook and One Drive


Preferred/Desired:
 

  • Experience providing administrative support to multiple mid-level or executive managers in a professional office environment.
  • Experience working within a communications/public relations setting, including Web properties and social media.
  • Advanced skills in Microsoft Office Suite.
