Estimating Assistant

SUMMARY: Ensures delivery of excellent service to the Estimating Department through fast and accurate processing of Request for Quotes (RFQ’s) from Sales, assigning projects to Estimators, communication, and coordinating with other departments to resolve inquiries in conjunction with other administrative, and data-entry responsibilities and order entry.

ESSENTIAL DUTIES / RESPONSIBILITIES:

  • Receives e-mail correspondence/Microsoft Team Cards from Sales and process.
  • Requires thorough knowledge and understanding of process flow to prevent duplicating Projects, entering accurate information; must be well-organized.
  • Download drawings from FTP sites and related web-sites.
  • Creates tasks and workflow within our corporate ERP system EPICOR with specific customer information to create work tasks for the estimating team.
  • Prepare reports, memos, letters, quotes, sales orders, and other documents, using Microsoft Office Suite, and various ERP systems.
  • Knowledge of administrative procedures and systems such as word processing, managing files, and records, transcription, designing forms, and terminology.
  • Read and analyze incoming memos, drawings (blueprints), submissions, and reports to determine their significance and plan their distribution.
  • Assists with preparation of records such as reports, agenda, notices, and minutes.
  • Must have organizational, problem solving and time management skills
  • Provide great customer service to internal and external customers
  • Review Dodge website to monitor environmental job orders.
  • Have the willingness to continually learn and understand the various types of estimating segments.
  • Demonstrate ability to collaborate and communicate with broad internal and external audiences
  • Must have attention to detail and take initiative with appropriate follow-through
  • Coordinate and assist with the Specialty Department and Architectural department as needed.
  • Perform other duties as assigned by supervisor.



 

EDUCATION, WORK EXPERIENCE, AND PROFICIENCIES: A High School diploma or equivalent is required. An associate degree in a related field is a plus. In addition, the candidate must have excellent written and verbal skills with the highest level of accuracy and attention to detail; excellent interpersonal, communication and organizational skills, and be a well-organized and self-directed individual who is a team player. Self-starter attitude with ability to work with little direction. One or more years of administrative or construction experience, strong computer skills in Microsoft Teams, Microsoft Office Suite, to include Outlook, Word, Excel, and the willingness to learn other software packages as required. Experience with ERP systems, business or industry related experience with metals, fabrication, construction, and/or grating manufacturing company is preferred. 

 

WORK ENVIRONMENT: The Work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the essential duties of this job the employee may be required to go onto the production floor. The work environment requires the use of Proper Protective Equipment (PPE) when on the production floor.
