Receptionist/Clerk

Position Summary

 

This position is responsible for providing general administrative/clerical program support at the front desk reception of the Health and Human Services agency. Responsibilities include providing essential customer service support by greeting and directing visitors, maintaining a customer-focused atmosphere, answering incoming telephone calls and transferring as appropriate, answering questions, providing resources, and scheduling and checking in appointments.

  

SCHEDULE

Unit: Administration

Days:  Monday - Friday

Work Hours:  6:30 am to 3:00 pm

Hours Per Shift:  8

Shifts Per Pay Period:  10

Position FTE:  1.00

  

Applications are currently being accepted from current County employees as well as members of the public.

 

Essential Duties and Responsibilities

Welcome visitors to the building and provide navigation assistance.


Maintain strong customer service skills, creating a customer-focused atmosphere for all clients whether in person or by phone.

Answer telephone calls, screen as needed and transfer the calls to appropriate staff or department.

Answer the Information & Referral line.

Direct members as needed to apply for BadgerCare and Food Share utilizing the lobby’s computer kiosk and copy documents as requested.

Announce appointments to staff members, giving consumers appropriate paperwork as needed.

Schedule appointments utilizing the calendar feature in the agency’s electronic health record.

Arrange for consumer transportation and interpreter services as necessary.

Schedule conference room reservations and maintain posted schedules.

Maintain a daily on-call directory for programs and services.

Distribute and process mail.

Receive parcels and deliveries and notify staff of receipt.

Accept payments for fees in the cashier’s absence or after hours.

Assist with data entry, scanning and taking messages from the nurses line and entering into computer.

Assemble packets, scan records, and perform other clerical duties as assigned.

Demonstrate a commitment to county safety and risk management efforts.

 

 

Qualifications

Education and/or Experience

High school diploma or equivalent competencies, and 7 months to one year of relevant prior experience. Proven basic arithmetic skills with ability to count, look up a numbered item, or sort items in numerical order.

Responds to requests and initiates contacts to exchange basic or general information with others. 

Decision Making 

This position has authority to make decisions that are within detailed procedures and protocols and under close supervision. These decisions directly impact performance in the job and/or work unit within the department and information is provided to others for their decision making.
