Inside Sales & Marketing Coordinator

Reports to:                   Director of International Sales and Director of Marketing

 

Summary:                    The Inside Sales & Marketing Coordinator will play a crucial role in enhancing Malco’s global presence, reporting to the Director of International Sales and the Director of Marketing and supporting our international sales and marketing initiatives.  This role will be responsible for managing various aspects of the international back-office process from customer set-up, order entry, to shipment, customer support and internal marketing projects to help support our current and future international customers.   

 

 Responsibilities:          These responsibilities are intended to provide an overview of the Inside Sales & Marketing Coordinator role.  This list is not inclusive – other duties may be assigned to support the growth of the business. 

 

                                    The individual in this position is responsible for providing support for the International Sales and Marketing Team to include providing customer service for all International Customers.  This person will process orders and all information required to support the International Sale Department. 

 

  1. Receives, processes, and prioritizes orders through shipment and completion of documentation.  Prepares proforma invoices meeting all requirements of the customer.  Check prices and availability of products to meet the customer’s shipping date.
  2. Coordinates with Materials Management, Manufacturing and Shipping departments.      Attends meetings to ensure timely movement of orders to meet ship dates.
  3. Coordinates inspection of containers prior to shipping.  Prepares required forms for inspections, registrations and certifications as required by each customer/country. Reviews Letters of Credit for acceptance or amending purposes.
  4. Prepares all documents pertaining to shipments, including Dangerous Goods Declarations, Commercial Invoices and Shipment Export Declarations and other required documentation.
  5.  Maintains the Shipping Solutions Database including the product database and customer information.
  6. Works with forwarders to arrange bookings and pickups for lcl’s and fcl’s.      Coordinates bookings with payments and product availability while handling all quoting.
  7. Approves invoices for payments to forwarders and export carriers, based on quoted rates.
  8. Provides Customer Service to the International customer base, answering all requests in a timely manner.  Build and maintain working relationships with international customers.
  9. Processes complaints through the Complaint Database and works through the Quality process to resolve product issues.  Processes credit memos when required and return of goods. 
  10. Maintains a working knowledge of the product line to achieve all of the above and provide technical support when necessary.
  11. Understands and follows Malco’s Quality Policy, Quality Objective and Quality Management System, which includes participation on QIT Teams.
  12. Supports and follows Malco’s policies, practices, guidelines, and solutions.

Requirements:              

 

  • Bachelor’s degree in business, marketing, or a related field.
  • Must have excellent communication skills, verbal and written, internal and external.
  • Strong reasoning and problem-solving skills.
  • Able to work in a team atmosphere.
  • Requires the ability to listen attentively.
  • Attention to detail and the ability to follow-up are critical.
  • Ability to follow directions and meet deadlines while acting on their own.

  • Bi lingual – preferably can speak and write fluent Spanish. 

 

Experience:      

            

  • A minimum of 2 years’ customer service experience preferably in a manufacturing environment; not a call center.
  • A working knowledge of Microsoft Office. 
  • Experience with letters of credit and other payment terms is helpful.
  • International documentation and logistics experience is preferred (including Incoterms).
  • Strong reasoning and problem-solving skills.
  • Basic math skills; including computations of percentages and volume conversions.
