Mortgage Investment Operations Assistant
About the Role
We're looking for an Asset Management Assistant to own the recurring documentation and tracking work behind our loan portfolio, so the team can spend more time on portfolio strategy and reporting. You'll keep a clear, organized record of everything moving through the portfolio — outstanding requests, documents in progress, invoices, and status updates — and handle the document preparation that supports it. It's a strong fit for a college student or recent graduate who is precise, organized, and comfortable with financial paperwork.
What You'll Do
Day to day, this role centers on things like:
- Track legal and financial inquiries across the loan portfolio — keeping an organized, current record of what's outstanding, who owns it, and when it's due, across dozens of active files at once
- Prepare loan-level documentation, including modification packages and other standard forms, using data provided by the team
- Review and process vendor and servicer invoices against loan records, routing them for approval and accurate reporting
- Maintain the portfolio's tracking systems — legal status, loss mitigation, servicing, and entity-level recordkeeping — so the data the team relies on is always accurate and current
- Support portfolio-wide reporting by compiling and organizing recurring figures and status updates for the team
This list reflects the core of the role, not the limits of it — as you get up to speed, expect to take on more responsibility across the portfolio.
What We're Looking For
- Currently enrolled college student (junior/senior) or recent graduate
- Strong written communication for internal logs, notes, and reporting
- Highly organized, with the ability to track many concurrent loan files and deadlines without letting things slip
- Comfortable handling confidential legal and financial documents with discretion
- Computer savvy — comfortable with Outlook and Excel, with working proficiency in Smartsheet
- Good judgment about what to handle independently versus when to flag something up to the team
Nice to have: coursework or interest in real estate, finance, paralegal studies, or business; prior office or administrative support experience.
