Philanthropy Associate

What You'll Do

The Philanthropy Associate supports the delivery of high-quality advisory services for a multi-generational family across every stage of the giving process — from research and due diligence to grant execution, stewardship, and reporting. The role enables well-informed giving decisions by preparing the research, analysis, and background materials the philanthropy team needs to operate efficiently.

This is an excellent opportunity for an intellectually curious professional who is passionate about philanthropy and eager to deepen their expertise in family giving. The Associate will work closely with the philanthropy team and family members, support select meetings, and take on greater responsibility over time.

Key Responsibilities

Research, Due Diligence and Grantmaking Support
  • Conduct landscape research and organizational assessments to identify, evaluate, and recommend potential grantees across relevant focus areas.
  • Support due diligence by gathering and synthesizing information, reviewing proposals, and preparing clear summaries and draft recommendations.
  • Draft grant agreements, correspondence, and follow-up communications for review and approval.
  • Monitor active grants by tracking reporting deadlines, reviewing grantee reports, and flagging issues or opportunities for timely attention.
  • Maintain accurate, up-to-date grant records across the portfolio.
Family Meetings and Engagement Support
  • Prepare briefing materials, agendas, and background research for family meetings and planning discussions.
  • Support select family meetings by taking notes, capturing decisions and action items, and coordinating follow-through.
  • Develop educational materials and tools that deepen family members' philanthropic engagement.
  • Coordinate scheduling and on-site logistics for family meetings.
Portfolio Management and Stewardship
  • Support stewardship of the grantee portfolio by tracking key milestones, preparing for site visits, and helping maintain strong grantee relationships.
  • Coordinate with the Philanthropy Operations & Grants Manager on grant execution, payment documentation, and compliance requirements.
  • Contribute to portfolio reports, impact summaries, and family-facing communications.
  • Support special projects and initiatives across the philanthropic platform.
Cross-Functional and Cross-Team Collaboration
  • Collaborate with the philanthropy team to coordinate advisory and operational work from due diligence through grant execution and closeout.
  • Partner with colleagues in legal, finance, accounting, and other family office functions to support the delivery of philanthropic services.
  • Manage team administration, including meeting scheduling, mailings, document scanning, and other tasks as needed.
  • Contribute to a cohesive, high performing team by sharing knowledge, supporting colleagues, and participating actively in planning and learning.
Field and Sector Knowledge
  • Stay current on trends, organizations, and emerging issues across relevant philanthropic focus areas, and proactively share insights and opportunities with the team.
  • Build knowledge on the broader philanthropic ecosystem, including peer family philanthropies, field intermediaries, and effective-giving practices.
  • Strengthen team learning and knowledge management by documenting research findings and lessons from grantmaking.

Who You'll Work With

You will report to the Director of Philanthropy and work alongside a growing philanthropy team.

Required Skills and Experience

  • Bachelor's degree required; advanced coursework or a degree in nonprofit management, social impact, business or related field is a plus.
  • Three to five years of experience in philanthropy, grantmaking, or a closely related field; candidates with strong transferable experience will also be considered.
  • Strong research and analytical skills, with the ability to synthesize complex information into clear written materials and recommendations.
  • Exceptional written and verbal communication skills, including the ability to prepare client-ready materials for family members and other stakeholders.
  • Excellent organization and attention to detail, with the ability to manage multiple projects and deadlines.
  • A collaborative, low-ego approach and comfort working in a lean, high-trust environment.
  • Sound judgement, discretion, and integrity.
  • Comfort with ambiguity and an ability to bring structure to open-ended situations.
  • Experience with grants management systems or CRM platforms is a plus.
  • Experience in client-facing roles within a family office, major consulting firm, or investment bank is a plus.
