Marketing Specialist - Events

Position Overview

The Marketing Specialist – Events & Experiences plays a key role in bringing BrownWinick’s brand to life through exceptional events, sponsorships and client experiences. This position is responsible for coordinating and executing a wide range of firm events and programs while also supporting broader marketing and business development initiatives.

Working closely with the Director of Marketing, attorneys, internal teams and external partners, this role manages the details that make events successful—from initial planning and vendor coordination through on-site execution and post-event follow-up.

This is an ideal opportunity for a highly organized, proactive professional who enjoys creating experiences, managing multiple moving pieces and building strong relationships. The successful candidate will be equally comfortable developing an event timeline, coordinating with a venue, preparing event materials and jumping in wherever needed to ensure an exceptional experience for our attorneys, clients and guests.

Key Responsibilities

Events & Experiences

  • Coordinate and execute firm-hosted events, client programs, seminars, receptions, conferences and internal events from planning through completion
  • Develop and manage event timelines, checklists, budgets, invitations, registrations and other event details
  • Research, recommend and coordinate venues, caterers, audiovisual providers, entertainment and other event vendors
  • Serve as a primary point of contact for venues and vendors throughout the planning and execution process
  • Coordinate event logistics including room setup, food and beverage, audiovisual needs, signage, name badges, materials, transportation and other details
  • Manage invitations, registration lists, RSVPs, attendee communications and event-related follow-up
  • Provide on-site event management and troubleshoot issues to ensure a seamless guest experience
  • Coordinate with attorneys and internal stakeholders to understand event objectives, audiences and desired outcomes
  • Support the development of event concepts and experiences that strengthen client relationships and reflect the BrownWinick brand
  • Conduct post-event follow-up, including attendance tracking, feedback, expenses and other reporting
  • Maintain event calendars, planning documentation, vendor information and historical event records

Sponsorships & Community Engagement

  • Coordinate the firm's participation in sponsorships, conferences, community events and other external programs
  • Manage sponsorship deliverables, registrations, attendee information, advertising specifications, tickets, tables and related deadlines
  • Coordinate with attorneys and internal stakeholders to maximize the firm's presence and participation in sponsored events
  • Work with the Marketing team to ensure appropriate brand visibility and supporting materials for sponsorships and external events
  • Track sponsorship commitments, deliverables and participation throughout the year

Marketing & Business Development Support

  • Support marketing and business development campaigns associated with events, sponsorships and client programs
  • Coordinate event-related email communications, invitations, social media, collateral and promotional materials
  • Partner with Marketing team members to ensure communications and materials are accurate, timely and consistent with brand standards
  • Assist with other marketing initiatives, campaigns and special projects as needed
  • Help identify opportunities to improve client and attendee experiences across firm programs

Project & Vendor Coordination

  • Manage multiple events and projects simultaneously while maintaining timelines, deadlines and attention to detail
  • Coordinate with internal teams, attorneys, venues and external vendors to keep projects moving forward
  • Maintain accurate budgets, estimates, invoices and event-related documentation
  • Develop and maintain strong relationships with venues, vendors and community partners
  • Identify opportunities to improve event processes, templates, tools and efficiencies

Qualifications

  • Bachelor’s degree in Event Management, Hospitality Management, Marketing, Communications, Business or a related field
  • Demonstrated event planning, coordination or hospitality experience through professional roles, internships or significant hands-on event experience
  • Exceptional organizational and project management skills
  • Strong attention to detail and ability to anticipate needs
  • Ability to manage multiple events, projects and deadlines simultaneously
  • Strong written and verbal communication skills
  • Professional, service-oriented approach when working with attorneys, clients, guests and external partners
  • Proficiency with Microsoft Office and comfort learning new technology and project management systems
  • Ability to occasionally work outside normal business hours for firm events and programs
