Administrative Assistant

Job Summary

The Administrative Assistant provides top-tier support to early-career attorneys. In this collaborative service-oriented role, you will manage competing priorities that include coordinating calendars, processing expenses, scheduling meetings, and facilitating correspondence across our U.S. offices.  This role will serve as a trusted resource for our first- through fourth-year associates, providing day-to-day administrative support that enables them to focus on delivering exceptional client service.

Essential Job Duties & Responsibilities

  • Provide administrative support to a shared group of attorneys across the U.S.  in a centralized service model, prioritizing incoming requests and managing multiple deadlines and competing priorities.
  • Utilize firm-approved software and technology platforms to complete tasks, execute workflows, and maintain accurate records.
  • Monitor shared work queues and collaborate with team members to ensure timely, accurate, and high-quality completion of assigned requests.
  • Prepare, review, and process expense reports and reimbursement requests in accordance with firm policies and timely resolution of outstanding items within required deadlines.
  • Enter, review, and maintain attorney time records accurately while complying with billing guidelines.
  • Deliver exceptional client service by responding to attorney and client requests with professionalism, urgency, and discretion while maintaining the highest level of confidentiality.
  • Coordinate domestic and international travel arrangements including itineraries, accommodations, ground transportation, and related logistics.
  • Planning support for meetings and events inclusive of scheduling, conference services, and audiovisual needs across global time zones.
  • Assists attorneys with administrative workflows, including locating materials, routing documents, and directing requests efficiently.
  • Perform other duties and responsibilities as assigned.

 

Education

Required

High school diploma or GED

Preferred

Associate’s or Bachelor’s degree

 

Skills and Experience

Required

  • 0–2 years administrative support experience (legal/professional services preferred)
  • Ability to work in a high-volume, process-driven environment
  • Strong ability to work both independently and collaboratively within a team setting
  • Ability to manage and execute workflow without explicit direction and ongoing supervision
  • Strong attention to detail in drafting, formatting, proofreading materials
  • Adept at prioritizing and consistently meeting deadlines
  • Ability to effectively identify and sequence information, including following appropriate procedural steps
  • Skill in problem solving in service of meeting requested client needs
  • Ability to use diplomacy, maintain confidentiality and show discretion in relaying information
  • Proficiency in Microsoft Office and workflow tools
  • Excellent written and verbal communication skills, with strong interpersonal skills and professional presence; works effectively with all levels of Firm staff and vendors
  • Strong client service orientation
  • Commitment to growth and development, with the ability to assess and improve personal workflow

 

Salary Range

The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. This role is non-exempt meaning it is overtime pay eligible.
