Early Intervention (EI) Outreach Coordination Internship

Position Summary 

Optimal Care Services (OCS) is seeking a proactive and detail-oriented Outreach Coordination Intern to help grow our Early Intervention (EI) referral network across the NYC boroughs, Nassau, Suffolk, and Westchester counties. In this role, you'll build and maintain relationships with pediatric offices, from initial outreach through partnership agreement and ongoing referral coordination, playing a direct role in connecting more children and families with the early intervention services they need. This is an excellent opportunity for someone pursuing a degree in social services, healthcare administration, public health, or a related field to gain hands-on experience in relationship-building, healthcare partnerships, and program coordination within a mission-driven organization. 

 

Essential Duties and Responsibilities 

  • Research and verify a target list of pediatric offices in OCS' service areas (NYC boroughs, Nassau, Suffolk, and Westchester counties) as candidates for the referral network. 
  • Contact pediatric offices by phone, email, and in-person to introduce OCS and gauge interest in partnering. 
  • Schedule appointments for the Operations & Compliance Director (or other OCS leaders) to visit each office and present the OCS partner overview. 
  • Follow up after each presentation to answer questions and keep offices engaged through the decision process. 
  • Coordinate the signing of the Physical Health Assessment Agreement—collecting the physician's information, routing the agreement and letter for signature, and tracking which offices have signed versus which are still pending. 
  • Maintain accurate records of every contact, meeting, and agreement status in OCS's referral tracking system. 
  • Serve as an ongoing point of contact for signed pediatric partners, helping route referrals and answer routine questions. 
  • Support broader outreach efforts by identifying new referral sources and growing the network beyond pediatric offices when needed. 
  • Enter referrals into the NYC EI Referral System or via EI-Hub with Optimal Care Services as the preferred early intervention agency partner 

 

Qualifications and Requirements 

Required 

  • Strong organizational and time management skills 
  • Exceptional attention to detail 
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, etc.) 
  • Excellent written and verbal communication skills 
  • Excellent customer service 
  • Ability to manage multiple priorities and meet deadlines 
  • Strong problem solving and follow up skills 
  • Ability to work independently and as part of a team 
  • Ability to maintain confidentiality when handling student and staff information 

Preferred 

  • Experience in outreach, sales, customer service, or an administrative/front-office role (medical office experience is a plus but not required). 
  • Familiarity with Early Intervention, special education, healthcare, or nonprofit/community-based services. 
  • Bilingual (Spanish, Haitian Creole, Bengali, Urdu, Arabic, or another language common among NYC/Long families—helpful for building relationships in diverse communities. 
  • Experience with a customer relationship marketing (CRM) or referral-tracking system. 
  • A car or reliable transportation, if in-person office visits across boroughs/counties are expected. 

Compensation and Terms 

  • $20.00 per hour 
  • Schedule flexibility around examinations and academic deadlines, arranged in advance. 
  • This position is for those who can dedicate 20-24 hours per week at our office, 350 7th Avenue, New York, NY 10001, during office hours, Monday – Friday, 8:00 to 4:00 pm.
