Human Resources Intern
Position Summary
Internera is seeking a dependable and detail-oriented Human Resources Intern to support recruiting, onboarding, employee records, scheduling, and general HR administration.
Working closely with the HR Manager, you will gain practical experience throughout the employee lifecycle. This position is ideal for a student who communicates professionally, stays organized, respects confidentiality, and wants hands-on experience in human resources.
Expected Responsibilities
- Post and maintain internship opportunities on approved platforms
- Research and contact UW–Madison student organizations, professors, academic departments, and career centers
- Track recruiting outreach, candidate sources, applications, and follow-up needs
- Communicate with candidates using approved templates and guidance
- Coordinate interviews and send confirmations, reminders, and meeting details
- Prepare interview materials and maintain organized candidate records
- Attend selected interviews to observe, take notes, and assist with follow-up
- Prepare and distribute onboarding materials, forms, and training information
- Track onboarding progress and follow up on missing items
- Maintain accurate employee folders, contact information, calendars, and HR trackers
- Record important employment, internship, training, and compliance dates
- Monitor time-off requests and alert managers to conflicts or pending decisions
- Maintain organized HR templates and digital files
- Assist with routine HR projects and administrative tasks
Minimum Qualifications
- Currently enrolled as an undergraduate student
- Strong written and verbal communication skills
- Excellent organization, time management, and attention to detail
- Ability to protect confidential candidate and employee information
- Ability to follow established processes and ask questions when needed
- Ability to take initiative, accept feedback, and complete assigned work
- Ability to work independently while collaborating with managers and team members
- Ability to attend occasional in-person meetings in downtown Madison
Coursework in human resources, business, management, communications, psychology, or a related field is helpful but not required.
Preferred Skills and Experience
- Familiarity with Google Workspace, Airtable, Handshake, Canva, or LinkedIn
- Basic understanding of recruiting, interviewing, onboarding, recordkeeping, or employee support
- Previous office, customer service, recruiting, student-organization, or administrative experience
- Ability to manage multiple deadlines and maintain accurate records
- Professional judgment and the ability to recognize when an issue should be escalated
- Commitment to providing respectful, inclusive, and consistent candidate and employee experiences
Previous HR experience is not required. We are willing to train the right student.
Role Boundaries and Confidentiality
This is a supervised learning position. The intern may coordinate and document HR activities but will not independently make hiring, disciplinary, compensation, leave, or other employment decisions.
All confidential information must be handled through approved systems and shared only with authorized individuals.
Physical Requirements
Ability to use a computer and phone for extended periods and occasionally move materials weighing up to 15 pounds. Reasonable accommodations may be provided to qualified individuals with disabilities.
