Administrative Operations Assistant

Joe Taylor Restoration is seeking a highly organized and detail-oriented Administrative Operations Assistant to support our fast-paced Operations team.

This role is responsible for managing administrative tasks, incoming calls and emails, new loss assignments, documentation, data entry, reports, and operational follow-up. The ideal candidate is dependable, responsive, organized, and comfortable managing multiple priorities in a high-volume environment.

What You’ll Do

  • Manage incoming calls, emails, requests, and administrative tasks.
  • Answer and route calls and assist customers, vendors, insurance representatives, and internal team members.
  • Monitor inboxes and respond to or escalate time-sensitive requests.
  • Process and dispatch new losses, leads, assignments, and vendor program requests.
  • Maintain accurate project and customer information in CRM and other systems.
  • Review reports and files for accuracy, completeness, and required documentation.
  • Process and distribute initial, supplemental, and final reports.
  • Review files and billing-related documentation for completeness.
  • Run reports and work queues to identify missing information or items requiring follow-up.
  • Perform accurate, high-volume data entry.
  • Track outstanding tasks and follow through to completion.
  • Communicate effectively with Operations, Project Team Leaders, customers, carriers, and vendors.
  • Assist Operations leadership with administrative projects and other operational needs.

Qualifications

  • High school diploma or GED required.
  • 2+ years of administrative, operations support, customer service, dispatch, or similar experience preferred.
  • Experience in restoration, construction, insurance, or another fast-paced service industry is a plus.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office/Microsoft 365.
  • Ability to learn and navigate multiple software systems.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong follow-through and accountability.
  • Ability to work independently and as part of a team.

Work Environment

This is a fast-paced, high-volume Operations environment where priorities can change throughout the day. The ideal candidate is comfortable staying organized, managing competing priorities, and responding quickly to urgent requests.
