What You Need to Know 

We're looking for a Meeting Planner to join our Speaker Bureau Services team. This is a great fit for a recent grad who's organized, personable, and excited to learn the ins and outs of event and program management in the life sciences space. You'll manage and execute arrangements for assigned virtual and in-person speaker programs, in line with client and HWP requirements - building real project management and client-facing skills from day one.

 

What You’ll Do 

  • Serve as the liaison between the client sales representative, speakers, and vendors
  • Research and recommend compliant meeting venues for in-person events
  • Contact and secure identified speakers
  • Coordinate all meeting logistics, including venue, audiovisual equipment, speaker travel, lodging, and ground transportation
  • Generate and distribute program materials, including invitations and confirmations
  • Maintain comprehensive program notes and complete all required data entry
  • Reconcile actual costs against estimates and provide supporting documentation
  • Understand and comply with service level agreements (SLAs)

 

What You’ll Have 

  • Recent college graduate (any major welcome)
  • Internship experience is a plus, but not required
  • Strong interpersonal skills and the ability to engage effectively with stakeholders at all levels
  • Excellent organizational skills and a keen eye for detail
  • Working knowledge of Zoom and Microsoft® Teams for virtual program setup and execution
  • Familiarity with Veeva Events is a plus

  • Salary range: $57,000 – $63,000 annually. Note: Actual salary will depend on background and experience.
