About the Role

We are seeking a highly motivated, detail-oriented Event Planning Coordinator to take ownership of a defined portfolio of DSC in-person events and support their successful planning and execution from start to finish. This is a high-visibility, sponsor-facing role requiring professionalism, organization, strong communication, and the ability to manage multiple events and deadlines at once.

You will be responsible for keeping your assigned events organized and on track, working closely with the DSC team and sponsors before each event, coordinating internal and external logistics, maintaining event documentation and SOPs, and traveling frequently to support on-site execution. The ideal candidate takes ownership, communicates professionally, anticipates needs, and is comfortable moving quickly in a deadline-driven environment.

0–2 years of professional experience is preferred.

Formal event planning experience is NOT required.

What You’ll Do

🔹 Event Portfolio Ownership

  • Own the planning and operational coordination of a defined portfolio of DSC in-person events from initial preparation through post-event wrap-up.
  • Maintain detailed timelines, checklists, trackers, and deadlines for each assigned event.
  • Coordinate across internal teams and external partners to ensure event requirements are completed accurately and on time.

🔹 Sponsor Coordination & Preparation

  • Serve as a professional, responsive point of contact for sponsors leading up to assigned events.
  • Coordinate sponsor deliverables, deadlines, event logistics, speaking requirements, and preparation needs.
  • Proactively follow up on outstanding sponsor materials and ensure partners understand what is needed before arriving on site.

🔹 Event Logistics & On-Site Execution

  • Support venue, vendor, registration, agenda, speaker, sponsor, signage, and other operational logistics as needed for assigned events.
  • Travel frequently to DSC events and support on-site setup, sponsor needs, attendee experience, and event execution.
  • Stay calm and solutions-oriented during live events, quickly addressing issues and escalating when necessary.
  • Complete post-event wrap-up tasks and capture operational learnings for future programs.

🔹 SOPs & Process Improvement

  • Create, maintain, and improve event SOPs, checklists, templates, and planning documentation.
  • Build repeatable processes that make event preparation and sponsor coordination more consistent and efficient.
  • Identify operational gaps and proactively recommend improvements before they become event-day issues.
  • Document lessons learned and best practices so successful event processes can be repeated across the portfolio.

Requirements

  • 0–2 years of professional experience (internships, academic projects, and part-time roles accepted)
  • Bachelor's degree preferred (or equivalent experience)
  • Strong proficiency with Google Workspace / Google Sheets and the ability to quickly learn event-management platforms and internal tools
  • Rapid ability to learn new platforms and internal tools
  • High attention to detail and organizational skills
  • Strong written and verbal communication abilities
  • Ability to work independently with minimal instruction and willingness to travel frequently for events
