Recruiting Operations Specialist - Internship

Position Overview

 

We are seeking an energetic, detail-oriented Recruiting Operations Specialist for a paid internship role. Serving as the operational bridge between our Sales, Recruiting, and AI systems, you will gain hands-on experience in talent sourcing operations, Voice AI workflow administration, ATS compliance, and workplace experience management. Guided by our core purpose of "Positively Impacting Lives," you will optimize automated candidate screening processes while supporting seamless internal office and client operations.

 

Key Responsibilities

 

1. AI & Voice Screening Management

  • Workflow Creation: Launch and manage Voice AI and candidate screening workflows for new requisitions using platforms like Whippy, VAI, and Gemini.
  • Question Development: Partner with Sales and Recruiting to translate client job requirements into clear, candidate-friendly Voice AI questions and knockout criteria.
  • Auditing & Quality: Conduct daily/weekly audits of active AI screenings, candidate responses, and workflow triggers to ensure data accuracy and identify technical glitches.
  • Automation Optimization: Leverage AI tools to draft content, standardize question templates, and reduce administrative tasks for recruiters.

2. Client & Talent Operations

  • System Alignment: Audit Applicant Tracking System (ATS) requisitions, active postings, and aging requests to ensure data integrity.
  • Candidate Workflow: Track candidates, verify pre-employment assessments, monitor compliance, and coordinate interview schedules across Vendor Management Systems (VMS).
  • Cross-Team Coordination: Assist recruiters on utilizing AI screening results and keep active trackers of open, updated, and closed job screenings.

3. Office Experience & Workplace Support

  • Facility Support: Maintain a functional, welcoming office space, including kitchen/coffee stations, inventory stocking, and mail/package processing.
  • Culture & Engagement: Manage visitor parking validations and maintain internal office signage and announcement boards.

 

Qualifications & Core Competencies

 

  • Detail-Oriented & Tech-Savvy: Strong background in data auditing, process management, and working with technology. Comfort with Gemini, AI tools, ATS, and VMS platforms is highly preferred.
  • Effective Communicator: Excellent written and verbal skills to collaborate cross-functionally across Sales, Recruiting, and external partners.
  • Proactive Problem Solver: Able to spot inconsistencies in data or workflows, hold processes accountable, and streamline operational hurdles.
  • Experience: Background or interest in recruiting, HR, staffing, or operations.
