Human Resources Technician
Primary Purpose:
Coordinates and supports the district's onboarding process by ensuring the timely completion of employment documentation, conducting employment verification, maintaining accurate personnel records, and providing exceptional customer service to applicants, new employees, and district staff throughout the hiring process.
Qualifications:
Education/Certification:
Must possess a high school diploma or hold a general education degree (GED) certificate. Two years human resources experience or 24 semester hours of college credit preferred.

Major Responsibilities and Duties:
Monitors and verifies completion of required onboarding documents within the district's applicant tracking and onboarding systems.
Reviews, prints, and prepares employment documents, including employment eligibility, tax, and other required onboarding forms.
Contacts newly hired employees to schedule in-person employment verification appointments and provides guidance on completing required employment documentation.
Conducts in-person employment verification appointments, validates required documentation, and communicates essential onboarding information, including position assignment, compensation, work location, fingerprint requirements, and next steps in the hiring process.
Documents onboarding progress and pertinent employment information within the district's human resources information systems and routes completed employee files for further processing.
Organizes, assembles, and maintains onboarding folders and employment documentation for scheduled appointments.
Processes and enters employee authentication and system access requests.
Responds to telephone, email, and in-person inquiries and provides customer service regarding onboarding procedures and employment requirements.
Assists employees in resolving issues related to accessing, receiving, or completing required onboarding documents and electronic forms.
Guides personnel through state certification account setup and required fee payment processes.
Scans, indexes, uploads, and maintains employee records within the district's electronic document management system.
Maintains tracking logs for new and returning employees, documenting completed requirements and identifying outstanding onboarding items.
Enters employee information into district systems to facilitate the creation and issuance of employee identification badges and access credentials.
Maintains documentation verifying completion of required onboarding items, including fee payments, transcripts, and identity documentation.
Communicates with employees regarding outstanding onboarding requirements and sends reminders for missing documentation.
Schedules virtual and in-person onboarding appointments, orientations, and informational meetings using district-approved communication platforms.
Maintains participant rosters for district onboarding and training programs.
Coordinates communication with onboarding and training participants by confirming registration, providing scheduling details, and distributing meeting location or virtual access information.
Prepares participant folders, instructional materials, and supporting documentation for onboarding and district training sessions.
Performs other duties as assigned in support of Human Resources operations and employee onboarding.

Tools/Equipment Used: Ability to use peripheral devices, high level language programming concepts, data management software, and application development tools.
Posture/Physical Demands: Prolonged sitting; regular kneeling/squatting, bending/stooping, pushing/pulling, twisting. While performing the duties of this job, the employee is regularly required to sit and talk or hear, to use hands to finger, handle, or feel, and to stand and walk. Motion: Repetitive hand motion; frequent keyboarding and use of mouse; regular walking, grasping/squeezing, wrist flexion/extension, reaching; may climb ladders.
Lifting: Regular moderate lifting and carrying (up to 44 pounds); occasional heavy lifting and carrying (45 pounds and over).
Environment: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Occasional district-wide travel to multiple campuses, as assigned. The noise level in the work environment is usually moderate.
