Client Intake Specialist

The Client Intake Specialist is responsible for maintaining client files, answering and directing phone calls and working directly with clients. This vital role involves interviewing prospective low to medium-income clients, certifying their eligibility for the Colorado Energy Office’s Weatherization Assistance Program (CEO WAP), and preparing essential documentation for state reports and internal controls. The Intake Specialist also schedules energy audits and weatherization crews for eligible clients based on priorities set by State Policy and the Regional Director.
JOB RESPONSIBILITIES:
Maintain weatherization and furnace application files, ensuring all state and program requirements for client eligibility are met.
Utilize the computer system to track and manage client information accurately.
Answer telephone calls and direct them to the appropriate staff members.
Respond to client inquiries regarding energy measures and eligibility requirements with clarity and professionalism.
Contact clients to schedule specific dates and times for work, ensuring efficient coordination.
Prepare daily schedules for field staff and adjust them as necessary to meet operational needs.
Receive and distribute all incoming mail for the agency promptly.
Prepare and send letters to clients regarding program-related matters.
Prepare and update client forms to ensure all information is current and accurate.
Conduct educational sessions with each client to inform them about energy efficiency measures.
Select clients for scheduling based on established priorities and crew availability.
Assist Production Coordinators in preparing work schedules for field staff, ensuring optimal resource allocation. Perform other related duties as assigned to support the organization's mission.
MINIMUM QUALIFICATIONS / EXPERIENCE: High School Diploma or equivalent wtih 3-5 years of experience in client services, case management, or a related field. Candidates must pass a pre-employment drug screening. Candidates will be subject to a criminal background check and motor vehicle report. (See job-specific qualifications below):

Proficient in PC operations and using Microsoft Office Suite, including, but not limited to, Word, Excel, and PowerPoint.
PREFERRED SKILLS: (Licensing/Certification)
Bachelor’s degree in social work, public administration, human services, or related field preferred.
Understanding of weatherization programs or similar energy efficiency initiatives.
Experience working with federal or state-funded programs.
Experience working with low-income or vulnerable populations preferred.
REPORTS TO: Reports to Field Schedule Coordinator and collaborates with Field Operations Manager.
SUPERVISORY RESPONSIBILITY: No supervisory responsibilities
TRAVEL: Travel NOT required.
WORKING CONDITIONS / PHYSICAL REQUIREMENTS: These are essential functions and are required to perform the work effectively. Good Vision: To read and review financial documents, reports, and spreadsheets.
Manual Dexterity: To use a computer keyboard, mouse, and other office equipment effectively.
Sitting for Long Periods: Accountants often work at desks or on computers for extended periods.
Attention to Detail: Although this is a mental requirement, it often correlates with good focus and physical stamina.
Occasional Lifting: Lifting boxes or files, especially in larger offices or when handling paper records.
