Job Summary

We are seeking an experienced Air Export Operations Specialist to manage the day-to-day coordination and execution of international air export shipments from our City of Industry office.

This position will be responsible for coordinating shipments from booking through departure, preparing and auditing export documentation, communicating with airlines and overseas partners, monitoring shipment status, and resolving operational issues to ensure timely and accurate movement of freight.

The ideal candidate has hands-on experience in air export operations or international freight forwarding, strong attention to detail, and the ability to work independently in a fast-paced, high-volume environment.

Key Responsibilities

  • Air Export Operations: Manage the day-to-day lifecycle of air export shipments from booking through airline departure and handoff to overseas destinations.
  • Shipment Booking: Coordinate bookings with airlines and freight partners based on shipment requirements, capacity, routing, and cut-off times.
  • Export Documentation: Prepare, review, and maintain accurate export documentation, including Commercial Invoices, Packing Lists, Air Waybills (MAWB/HAWB), Shipper's Export Declaration information, and other required documents.
  • Shipment Coordination: Coordinate with warehouse teams, airlines, ground handlers, overseas offices, and customers to ensure shipments are processed and tendered on schedule.
  • Compliance: Ensure export shipments comply with applicable U.S. export regulations, airline requirements, TSA requirements, and company procedures.
  • Track & Trace: Monitor shipment movement and proactively communicate flight schedules, departures, delays, exceptions, and other status updates to internal and external stakeholders.
  • Exception Management: Identify and resolve documentation discrepancies, missed cut-offs, booking issues, flight delays, and other operational challenges.
  • Overseas Communication: Communicate regularly with overseas offices and partners, primarily in Asia, regarding shipment status, documentation, routing, and operational issues.
  • Data Entry & System Updates: Maintain accurate shipment information, documentation, and status updates within company systems and operational platforms.
  • Process Improvement: Identify opportunities to improve air export processes, reduce errors and delays, and improve overall operational efficiency.
  • Customer Service: Respond promptly to shipment inquiries and provide accurate updates to customers and internal teams.

Qualifications

  • Experience: 2+ years of hands-on experience in air export operations, air freight forwarding, international logistics, or a related field.
  • Air Export Knowledge: Strong understanding of air export procedures, airline bookings, cargo cut-off times, MAWB/HAWB, export documentation, and shipment tracking.
  • Regulatory Knowledge: Familiarity with U.S. export regulations, TSA requirements, and general international air freight compliance.
  • Technical Skills: Proficiency in Microsoft Office, particularly Excel. Experience with TMS, WMS, freight forwarding, or transportation management systems is preferred.
  • Communication: Strong written and verbal communication skills with the ability to coordinate effectively across multiple teams and time zones.
  • Attention to Detail: Highly organized and detail-oriented, with the ability to manage multiple shipments and deadlines simultaneously.
  • Problem Solving: Ability to quickly identify operational issues and make sound decisions in a fast-paced environment.
  • Work Environment: Must be comfortable working in an in-person, high-volume logistics operation.
