Accounting Associate

ACCOUNTING ASSOCIATE

 

 

Full-Time

Monday-Friday Day Shift

South St. Louis City, Missouri

Pay Range: $23 to $25 per hour ($47,840 - $52,000 a year)

The Accounting Associate supports the day-to-day financial operations of the Company, with responsibilities including accounts payable, payroll administration, accounting support and month-end and year-end closing support. This role also helps maintain accurate records, resolve discrepancies, assist with reporting and audits, and ensure transactions are properly recorded.

 

Accounts Payable

  • Process vendor invoices, confirming proper coding, approvals, and supporting documentation.
  • Match invoices to purchase orders, receipts, and other supporting records.
  • Maintain vendor files, including vendor set up and changes, W-9 documentation, payment terms, and accounts payable records.
  • Manage the accounts payable email inbox and respond professionally to vendor inquiries.
  • Prepare and process checks, wire and ACH payment runs.
  • Review vendor statements, research discrepancies, and follow issues through resolution.
  • Assist with month-end accounts payable reconciliations, accruals, and audit support.
  • Maintain accurate, audit-ready records and support internal controls, including filing
  • Work with Company management regarding daily and projected banking requirements
  • Work with third party accounting firm

Payroll

  • Accurate and timely payroll processing for employees.
  • Work with third party payroll service company in completing payroll
  • Process employee status changes, wage adjustments, deductions, and other approved payroll updates.
  • Audit payroll data, reconcile payroll reports, and research discrepancies before payroll is finalized.
  • Ensure timely organization and filing
  • Maintain payroll records and complete supporting documentation.
  • Coordinate with Human Resources, operations, and management regarding payroll questions and corrections, including benefits management support
  • Help ensure compliance with company policies and applicable federal, state, and local payroll requirements.
  • Protect the confidentiality of employee, payroll, and financial information.

Accounting Support

  • Assist Company management and third-party CPA firm in financial administration, budgeting, reporting and auditing
  • Assist with cash management
  • Assist with proper documentation of funds received within the financial system
  • Maintain reliable accounting files and records
  • Provide general accounting and administrative support as needed

 

Qualifications

  • Associate degree in Accounting, Business Administration, or a related field preferred.
  • Two to three years of experience in accounts payable, accounting, bookkeeping, payroll, or a related function.
  • Working knowledge of accounts payable procedures and payroll processing practices.
  • Experience with QuickBooks or a similar accounting system preferred.
  • Strong Microsoft Office skills, particularly Excel and Outlook.
  • Excellent organization, documentation, time-management, and follow-through skills.
  • Ability to manage multiple priorities and meet recurring weekly and monthly deadlines.
  • Highly dependable, including excellent attendance
  • High level of accuracy, analytical thinking, and attention to detail.
  • Professional communication and teamwork essential.

 

Working Conditions

  • This position is an on-site position with no remote work offered
  • Sitting at a desk, use of computer, use of software, use of office equipment including filing systems, work on spreadsheets and analyze data for extended periods of time
  • Standing, bending and walking and lift/carry up to approximately 15 pounds a distance up to 25 feet
  • Operate a computer, printer, copier and office equipment and software
