Receptionist Front Desk

Position Summary

The Receptionist is responsible for creating a positive first impression by greeting visitors, answering incoming calls, and providing outstanding customer service. This role supports the daily operations of the office by managing front desk activities, coordinating communications, handling administrative tasks, and assisting various departments as needed.

The ideal candidate is courteous, dependable, organized, and able to multitask in a fast-paced environment while maintaining a professional and welcoming demeanor.

Key Responsibilities

  • Greet customers, vendors, visitors, and delivery personnel in a friendly and professional manner.
  • Answer, screen, and direct incoming phone calls promptly and accurately.
  • Respond to general customer inquiries and direct requests to the appropriate department.
  • Maintain a clean, organized, and welcoming reception area.
  • Receive, sort, and distribute incoming mail, packages, and deliveries.
  • Assist with outgoing mail, courier services, and shipping arrangements.
  • Schedule appointments, meetings, and conference room reservations.
  • Perform general administrative duties, including filing, scanning, copying, and data entry.
  • Assist with preparing customer paperwork, rental agreements, and other office documents.
  • Maintain office supplies and notify management when replenishment is needed.
  • Support office staff with administrative tasks and special projects.
  • Maintain accurate records and filing systems.
  • Handle confidential customer and company information with professionalism and discretion.
  • Assist with coordinating office communications and ensuring messages are delivered promptly.
  • Perform other receptionist and administrative duties as assigned.

Required Qualifications

  • High school diploma or equivalent required.
  • Previous receptionist, customer service, or administrative experience preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills.
  • Friendly, professional, and customer-focused attitude.
  • Strong organizational and multitasking abilities.
  • Attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Professional appearance and telephone etiquette.

Preferred Qualifications

  • Experience in the construction, equipment rental, transportation, or industrial industries.
  • Experience operating multi-line phone systems.
  • Familiarity with office equipment, including copiers, scanners, and postage systems.
  • Basic data entry and administrative support experience.

Physical Requirements

  • Ability to sit or stand for extended periods while working at the reception desk.
