Service Coordinator

Service Coordinator 

Department: Case Management

The Service Coordinator is responsible for overseeing and managing all documentation requirements for the IBHS caseload within an assigned region. This role ensures that all clinical and administrative documentation is completed accurately, submitted on time, and meets audit‑ready quality standards. The service coordinator works closely with clinicians, clinical directors, and the Authorization Manager to maintain compliance with IBHS and MCO requirements.

Position Location: Remote 

Key Responsibilities

Documentation Oversight

  • Ensure all clients within the IBHS caseload have active consent and releases
  • Monitor and track documentation deadlines including;
    • Initial assessments
    • Continued Stay assessments
    • Mid Auth Reviews
    • Addendums and other required updates
  • Notify clinicians of upcoming, due, and overdue documentation needs.
    • Delinquency notices are sent when documents are late
    • Services are paused upon authorization lapses
  • Prepare and organize chart documents for clinical chart reviews and audits.

Coordination & Communication

  • Collaborate with clinical directors to provide up-to-date information regarding documentation requirements for their supervisees.
  • Serve as a point of contact for documentation-related inquiries and updates
  • Provide staffing team timely updates regarding potential lapsed documentation
  • Coordinate and communicate with MCO care managers as needed.

Quality Assurance

  • Review all documentation to ensure it meets administrative and audit quality standards
  • Identify documentation gaps and support clinicians in meeting compliance expectations 

Authorization & Submission Management

  • Prepare and submit all required authorization paperwork to IBHS MCOs
  • Ensure timely submission of all materials needed for service approvals and continued authorization
  • Accurate and timely entry of authorizations into central reach
  • Appropriate coordination regarding private insurance identification, requirements, and service procedures.
