POSITION REPORTS TO: Firm Manager/ Accountant (COO)
POSITION STATUS: Full-time, hourly, exempt position with benefits
JOB SUMMARY: The Paralegal is responsible for supporting the vision and mission of the Complete Legal Defense Team (CLDT). The Paralegal, under the supervision of the Trial Attorney, is responsible for creating and maintaining all client case files.
QUALIFICATIONS & REQUIRED SKILLS
- Must demonstrate understanding and commitment to vision and mission of CLDT
- Advanced knowledge of legal systems and inter-office procedures
- Advanced knowledge and experience with criminal law
- Excellent communication skills and effective interpersonal, verbal and written communication skills
- Proven leadership abilities
- Ability to work in a team environment and provide direction to staff when needed
- Exceptional organizational skills and ability to multitask
- Ability to work well and communicate effectively with individuals from various backgrounds
- Ability to establish, foster and maintain effective working relationships with staff, clients, government agencies and the public
- Demonstrate excellent problem-solving skills and ability to work under deadlines and pressure
- Working knowledge of standard business and law firm software
- Ability to work nights and weekends as necessary
- Valid Driver’s License required
- Able to lift and move a minimum of 10lbs.
ESSENTIAL JOB FUNCTIONS:
Client Case Files
Responsible for creation, management and closing of all client case files
Duties may include but are not limited to:
- Create and maintain Client Case Files
- Send all representation and request correspondence properly and timely to courts and prosecutors
- Ensure client documents are appropriately scanned, saved and filed
- Download all discovery and file appropriately
- Verify that all audio and video discovery is accurate and complete
Client Communication, Calendar & Court Appearances
Responsible for client communication and calendar coordination and updates
Duties may include but are not limited to:
- Send e-mail communication to all new clients requesting a biography, resume, etc.
- Contact clients to schedule discovery review meeting with attorney prior to making discovery available to client via MyCase
- Schedule time for Attorney review of discovery prior to call with client to review
- Responsible for communicating with client regarding Administrative Hearings, license suspensions and temporary license procedures
- Assist with updating the google calendar and the MyCase Calendar with client appointments, court appearances and deadlines when needed
- Assist with contacting clients regarding court dates, appearances and meetings when needed
Client Payments
Responsible for processing client payments, updating payment information and communicating with client when needed
Duties include but are not limited to:
- Assist with creating and executing new client paperwork when needed
- Part of the sales team that handles PNC communication
- Process over the phone and in-person client payments
- Provide receipt of payment to client
- Assist with the completion of client paperwork when needed
- Update client database(s) as appropriate
- Assist with creating and updating client invoices when needed
- Assist with communicating with clients when payments are missed
Client File Completion
- Verify clients are paid in full
- Confirm court charge disposition
- Confirm Expungement documentation when appropriate
- Send final communication and any documentation to clients
- Update Master List
Assist Court Paralegal
Responsible for assisting Litigation Paralegal, preparing legal documents and correspondence and assisting during trials and hearing as needed
Duties include but are not limited to:
- Assist with providing Roster Dockets and client lists for court appearances when needed
- Assist with providing client files for attorney review and /or preparation two days prior to appointments and court appearances or by Attorney request
- Assist with drafting Affidavits and coordinating execution with clients when needed
- Assist with drafting legal documents as needed
- Assist with trial preparation when needed
- When needed, attend trials and hearings to assist with materials, equipment, exhibits and witness coordination
Office Administration
Responsible for Administrative Office Duties
Duties may include but are not limited to:
- Serve as back-up to answering incoming calls when Client Care Coordinator (CCC) and Client Care Specialist (CCS) are occupied or unavailable
- CCC phone responsibilities include answering incoming calls, transferring calls, taking messages, answering questions and calendaring appointments
- Assist with making copies, pulling information, etc. as requested
