Feedyard Data & Accounting Coordinator

Role Summary: 

A Feedyard Data Coordinator is responsible for performing the recordkeeping, data entry, and communication activities required to keep feedyard operations running smoothly. Their duties include compiling and organizing cattle and feed records, distributing memos throughout the feedyard office, and fielding inquiries from customers, haulers, and clients.

 

What to Expect in the Role:

  • Entering and reconciling daily cattle inventory, receiving, and shipping data.
  • Logging and verifying feed tickets, weigh tickets, and lot records for accuracy.
  • Maintaining accurate pen and lot data files for cattle owners and feedyard management.
  • Logging and maintaining data entry for large commodity inventories, such as corn and milo, and preparing related inventory reports.
  • Preparing daily, weekly, and monthly feedyard and cattle management reports, as well as related accounting reports, for feedyard management and cattle owners.
  • Create documents, maintain databases, and send memos and emails.
  • Processing and paying vendor and feed invoices in a timely manner.
  • Preparing and sending monthly account statements and invoices to customers.
  • Tracking accounts receivable balances and following up on outstanding payments.
  • Preparing or processing invoices.
  • Managing digital document filing, including encrypted documents and email correspondence.
  • Collecting, filing, and organizing office documents, such as reports and confidential records.
  • Transcribing or taking notes during meetings and writing minutes, memos and/or agendas.
  • Making logistical arrangements for meetings or conferences, including booking travel, making reservations, or organizing rentals.
  • Monitoring office inventory and ordering supplies.
  • Sorting and delivering incoming mail and collecting and sending outgoing mail.
  • Running errands and making deliveries around the office or to external parties.
  • Packaging and shipping company materials.
  • Answering the phone at a reception desk or in a specific department and transferring calls as needed.

  • Excellent communication abilities, including speaking, writing and active listening.

  • Great customer service skills, including a personable and positive attitude.
  • High typing speed and accuracy.
  • Basic accounting and bookkeeping skills, including experience with invoicing, reconciliation, and accounts payable/receivable processes.
  • Good computer skills, including basic troubleshooting and using word processing, spreadsheet, presentation, and email software applications.
  • Problem-solving, critical thinking and decision-making abilities.
  • Ability to work independently with little-to-no supervision.
  • High attention to detail.
  • The incumbent must have a minimum of a high school diploma. 

 

Physical Demands/Requirements (Lifting, Bending, Stretching, etc.): 

  • These include the ability to sit and work at a computer keyboard for extended periods, ability to stoop, kneel and bend on a daily basis, ability to lift up to 25 pounds, and physical ability to perform general office administrative activities.
