Patient Service Representative

The Patient Service Representative is responsible for providing exceptional customer service by greeting patients, scheduling appointments, verifying insurance eligibility, maintaining accurate patient records, and assisting with administrative tasks. This role requires excellent communication, organizational, and multitasking skills to support efficient clinic operations while ensuring patient confidentiality and compliance with healthcare regulations.

Key Responsibilities:

  • Welcome and assist patients in person and over the phone.
  • Schedule, reschedule, and confirm patient appointments.
  • Verify insurance coverage, obtain referrals, and collect copayments.
  • Register new patients and update demographic and medical information.
  • Maintain accurate electronic health records (EHR).
  • Answer patient inquiries and direct them to the appropriate department.
  • Process patient forms, referrals, and medical records requests.
  • Coordinate with physicians, nurses, and other healthcare staff to ensure smooth patient flow.
  • Follow HIPAA guidelines to protect patient privacy and confidentiality.
  • Perform general administrative and clerical duties, including filing, scanning, and data entry.

Required Skills:

  • Strong customer service and interpersonal skills.
  • Excellent verbal and written communication.
  • Proficiency with electronic health record (EHR) systems and Microsoft Office.
  • Knowledge of medical terminology, insurance verification, and patient registration processes.
  • Strong organizational, time management, and multitasking abilities.
  • Attention to detail and accuracy.
  • Ability to work effectively in a fast-paced healthcare environment.

Preferred Qualifications:

  • High school diploma or equivalent (Associate degree preferred).
  • Previous experience in a medical office, hospital, or healthcare setting.
  • Familiarity with medical billing, scheduling software, and insurance procedures.
  • Bilingual skills are a plus, depending on the patient population served.
