Executive Support Specialist

We are seeking a highly organized and proactive Executive Support Specialist to provide comprehensive administrative and operational support to senior executives. The ideal candidate will manage complex calendars, coordinate travel, prepare reports and presentations, organize meetings, and handle confidential information with professionalism and discretion. This role requires exceptional communication, organizational, and problem-solving skills.

Key Responsibilities

  • Manage executive calendars, appointments, and meeting schedules.
  • Prepare reports, presentations, correspondence, and meeting materials.
  • Organize and coordinate meetings, including agendas, minutes, and follow-up action items.
  • Coordinate special projects, company events, and executive initiatives.
  • Process invoices, expense reimbursements, and other administrative documentation.
  • Maintain organized digital filing systems and document management processes.
  • Recommend and implement process improvements to increase efficiency.

Qualifications

  • High school diploma or equivalent required; associate's or bachelor's degree in Business Administration or a related field preferred.
  • Experience using virtual collaboration platforms such as Microsoft Teams, Zoom, or Slack.
  • Excellent written and verbal communication skills.
  • Strong organizational, time-management, and multitasking abilities.
  • High level of discretion and ability to handle confidential information.
  • Strong attention to detail and problem-solving skills.

Preferred Skills

  • Experience supporting C-suite or senior leadership executives.
  • Knowledge of calendar management, travel coordination, and expense reporting.
  • Ability to work independently in a fast-paced environment.
  • Strong customer service and relationship-building skills.
  • Experience working in remote or hybrid environments.
