Customer Service Administrator

We are seeking a customer-focused and organized Customer Service Administrator to provide exceptional support to customers while ensuring efficient administrative operations. The ideal candidate will manage customer inquiries, process orders, maintain accurate records, and collaborate with internal teams to deliver outstanding service.

Key Responsibilities:

  • Respond to customer inquiries via phone, email, and online channels in a professional and timely manner.
  • Process customer orders, returns, exchanges, and service requests accurately.
  • Maintain and update customer records, databases, and account information.
  • Coordinate with sales, operations, and other departments to ensure customer needs are met.
  • Prepare quotes, invoices, reports, and other customer-related documentation.
  • Monitor order status and provide customers with updates on deliveries or service requests.
  • Schedule appointments, meetings, or service calls as needed..

Qualifications:

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • 2+ years of customer service, administrative, or office support experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM software.
  • Excellent verbal and written communication skills.
  • Strong organizational, multitasking, and time-management abilities.
  • Ability to handle difficult situations with professionalism and empathy.

Preferred Skills:

  • Experience with customer relationship management (CRM) systems such as Salesforce, HubSpot, or Zendesk.
  • Knowledge of order processing and invoicing systems.
  • Ability to work independently and in a collaborative team environment.
  • Strong customer service orientation with a commitment to delivering exceptional experiences.
