Administrative Specialist

We are seeking a detail-oriented and organized Administrative Specialist to provide comprehensive administrative support to our team. The ideal candidate will manage daily office operations, coordinate schedules, maintain records, prepare reports, and serve as a key point of contact for internal and external communications.

Key Responsibilities:

  • Manage calendars, schedule appointments, meetings, and travel arrangements.
  • Answer phone calls, respond to emails, and direct inquiries appropriately.
  • Prepare, edit, and distribute reports, presentations, correspondence, and other documents.
  • Maintain accurate filing systems, databases, and office records.
  • Order office supplies and monitor inventory levels.
  • Coordinate meetings, prepare agendas, and record meeting minutes.
  • Assist with budgeting, expense tracking, and invoice processing.
  • Support special projects and departmental initiatives..

Qualifications:

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple tasks and meet deadlines.
  • High attention to detail and accuracy.

Preferred Skills:

  • Experience with office management software or ERP systems.
  • Knowledge of records management and document control.
  • Problem-solving and critical thinking abilities.
  • Ability to work independently and collaboratively in a team environment.
