ABOUT THE ROLE

The Block Party doesn't happen without its sponsors — and with 150 of them, keeping every contract signed, every certificate of insurance collected, and every payment confirmed is its own full-time job. This intern handles that job.

You'll serve as the operational backbone of our sponsor pipeline, working from a shared tracking spreadsheet to monitor each sponsor's status across contracts, insurance requirements, and payment confirmations. You'll work closely alongside the ED, who has been building this event for seven years and has the sponsor relationships, templates, and institutional knowledge to set you up for success from day one.

This is an administrative and communications role — detail-oriented and methodical. The work is quieter than event day, but just as critical to pulling it off.

WHAT YOU'LL DO

  • Maintain the sponsor tracking spreadsheet, keeping contract status, insurance, and payment records current for 150+ sponsors
  • Send templated follow-up emails to sponsors with outstanding contracts, certificates of insurance, or unpaid balances
  • Verify that certificates of insurance meet event requirements; flag exceptions to the ED
  • Update sponsor information in the event map database for use in public-facing materials (website, printed maps, signage)
  • Coordinate with the Creative & Print Production intern to ensure sponsor details are accurate before print deadlines
  • Escalate edge cases to the ED; most communications are template-driven

WHAT YOU'LL GAIN

  • Are reliable and responsive; sponsors expect timely communication

MUST BE AVAILABLE

  • July 7 or earlier through early September, with consistent weekly availability
  • Completion of final database and map updates before the print deadline in late August
