Logistics Coordinator / Administrative Assistant

Logistics Coordinator / Administrative Assistant Fibematics, Inc. | Philadelphia, PA

We're a Philadelphia-based paper and nonwoven products manufacturer looking for a sharp, organized Logistics Coordinator / Administrative Assistant to join our team.

This role sits at the intersection of supply chain, customer service, and operations. You'll own order processing, freight coordination, shipping documentation, and day-to-day administrative functions that keep our business running smoothly.

What You'll Do

  • Process customer orders and coordinate with production for on-time fulfillment
  • Schedule domestic shipments and negotiate freight rates
  • Prepare and review shipping documents, Bills of Lading, POs, and invoices
  • Track shipments and resolve transportation or delivery issues
  • Handle customer inquiries and provide shipment updates
  • Coordinate inventory movements and receiving documentation
  • Ensure compliance with shipping regulations
  • Maintain accurate records in ERP systems
  • Monitor production schedules and shipment readiness
  • Help identify and implement logistics process improvements

What We're Looking For

  • Strong oral and written communication skills
  • Highly organized with the ability to juggle multiple priorities in a fast-paced environment
  • Excellent customer service instincts and relationship-building skills
  • Proficient in Microsoft Office (Excel and Outlook especially)
  • Familiarity with domestic logistics documentation
  • Manufacturing experience a plus
