Position Summary
PI Midlantic is seeking a highly organized, proactive, and detail-oriented Operations Coordinator to support the day-to-day operations of our growing consulting business. This role serves as a central hub for administrative, operational, client support, and project coordination activities.
The Operations Coordinator will work closely with leadership, consultants, customer success, sales, and clients to ensure smooth execution of business processes, client engagements, assessment administration, scheduling, reporting, and operational initiatives.

Key Responsibilities
Operational Support
- Coordinate and support daily business operations across consulting, customer success, sales, and leadership teams.
- Maintain operational systems, workflows, and documentation.
- Assist with process improvement initiatives that enhance efficiency and scalability.
- Track and manage operational tasks, deadlines, and deliverables.
Client & Project Coordination
- Support the scheduling and coordination of client meetings, workshops, training sessions, and consulting engagements.
- Prepare client materials, reports, presentations, and engagement documentation.
- Monitor project timelines and ensure timely completion of deliverables.
- Serve as a liaison between clients and internal teams to facilitate communication and follow-through.
Assessment Administration
- Manage participant enrollment and administration of Predictive Index® assessments.
- Monitor assessment completion and follow up with participants as needed.
- Ensure assessment data is accurate, complete, and properly documented.
- Support consultants with report preparation and assessment-related logistics.
Data & CRM Management
- Maintain accurate client, prospect, and project information within CRM and business systems.
- Generate operational reports and dashboards as requested.
- Perform data quality reviews and updates to ensure information integrity.
- Support sales and customer success teams with data entry and record management.
Administrative Support
- Coordinate calendars, meetings, travel arrangements, and special events as needed.
- Manage electronic records, files, and internal documentation.
- Assist with invoicing, contract administration, and operational tracking activities.
- Support onboarding activities for new clients and internal team members.
Cross-Functional Collaboration
- Partner with sales, customer success, consulting, and leadership teams to support strategic initiatives.
- Identify opportunities to improve client experience and operational effectiveness.
- Contribute to a culture of collaboration, accountability, and continuous improvement.
Qualifications
Required
- Associate's degree or equivalent experience.
- 2+ years of experience in operations, project coordination, administrative support, customer service, or business operations.
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- High attention to detail and commitment to accuracy.
- Proficiency with Microsoft Office (Excel, Word, Outlook, PowerPoint).
- Ability to manage multiple projects and priorities simultaneously.
Preferred
- Bachelor's degree in Business Administration, Management, Human Resources, Communications, or related field.
- Experience supporting consulting, professional services, HR technology, or training organizations.
- Familiarity with CRM platforms, project management tools, and cloud-based business systems.
- Experience coordinating client-facing projects or events.
