Project Coordinator / Safety & Compliance Specialist

Position Summary 

The Project Coordinator / Safety & Compliance Specialist is responsible for supporting project execution while ensuring compliance with company safety policies, OSHA regulations, FMCSA/DOT requirements, and industry best practices. This role coordinates project activities, documentation, process improvement initiatives, safety programs, driver compliance, and training efforts. The position serves as a key link between management, field personnel, drivers, contractors, and customers to ensure projects and operations are completed safely, efficiently, and in compliance with all applicable regulations.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while maintaining a strong commitment to safety, compliance, and operational excellence.

 

Essential Duties and Responsibilities

Project Coordination & Process Improvement

  • Support project planning, scheduling, execution, and close-out activities.
  • Address and resolve project-related issues in a timely manner while proactively seeking input from internal stakeholders.
  • Set up, organize, and maintain project files, documentation, and records.
  • Coordinate the flow of information between management, field personnel, contractors, customers, and drivers.
  • Monitor project progress and communicate updates regarding milestones, deliverables, and potential risks.
  • Proactively investigate processes and identify opportunities to improve operational efficiency, productivity, and workflow effectiveness.
  • Develop and implement process-improvement initiatives to support organizational goals and continuous improvement.
  • Assist with project reporting, compliance tracking, and administrative support.
  • Support special projects and operational initiatives as assigned.

Safety Coordination & Compliance

  • Develop, implement, and execute project-specific safety plans and programs in accordance with company policies and regulatory requirements.
  • Conduct safety inspections, audits, and evaluations to ensure compliance with OSHA, FMCSA, DOT, federal, state, and local regulations.
  • Develop, implement, and maintain safety training records and conduct periodic file audits to ensure compliance with requirements.
  • Prepare, update, communicate, and enforce company safety policies and procedures to establish a strong culture of safety.
  • Evaluate work practices, procedures, facilities, equipment, and operational activities to identify risks and recommend corrective actions.
  • Investigate incidents, accidents, and near-misses, documenting findings and implementing preventive measures.
  • Assist with the preparation, review, and maintenance of Driver Qualification Files (DQFs), safety records, and compliance documentation.
  • Maintain safety records, reports, training files, and regulatory documentation.
  • Coordinate corrective actions resulting from audits, inspections, and compliance reviews.
  • Promote and foster a positive safety culture throughout the organization.

Training & Development

  • Develop and deliver safety training programs for employees, drivers, and independent contractors.
  • Assist in the development and delivery of training programs related to company policies, operational procedures, and regulatory compliance.
  • Coordinate training related to:
    • Hours of Service (HOS)
    • Accident reporting and investigation procedures
    • Driver wellness and fatigue management
    • Compliance, Safety, Accountability (CSA) Program
    • OSHA and workplace safety requirements
    • DOT and FMCSA compliance requirements
  • Coordinate and maintain training records and documentation for employees, drivers, and contractors.
  • Facilitate knowledge sharing, professional development, and respect among personnel from diverse backgrounds.
  • Support employee onboarding and compliance training initiatives.

Regulatory Compliance

  • Maintain current knowledge of FMCSR, DOT regulations, OSHA standards, and applicable federal and state laws.
  • Support company compliance initiatives by monitoring regulatory changes and assisting with the implementation of required updates.
  • Ensure company records, files, and operational procedures remain compliant with regulatory requirements.
  • Assist management during audits, inspections, and regulatory reviews.
  • Work closely with management to maintain compliance standards and support risk mitigation efforts.

 

Qualifications

Education

  • Bachelor's Degree in Industrial Engineering preferred.
  • Degrees in Occupational Safety, Construction Management, Logistics, Transportation, Business Administration, or related fields will also be considered.

Experience

  • Minimum of one (1) year of experience in Project Coordination, Safety Coordination, Construction, Transportation, Logistics, Compliance, Operations, or a related field.
  • Experience with OSHA, FMCSA, DOT regulations, safety programs, compliance monitoring, or operational support is preferred.
  • Experience conducting audits, maintaining compliance documentation, and coordinating employee or driver training is highly desirable.
  • Experience working with contractors, field personnel, drivers, and cross-functional teams is a plus.
  • Demonstrated ability to manage multiple priorities, solve problems, and work effectively in a fast-paced environment.

  • Ability to build effective working relationships with technical staff, field personnel, drivers, contractors, customers, and senior management.
  • Desire and ability to handle a variety of projects and responsibilities.
  • Eligible to work in the United States.

 

Working Conditions

  • Approximately 95% office-based work and 5% field visits, training sessions, customer locations, or jobsite visits as needed.
  • Frequent interaction with project teams, drivers, contractors, regulatory agencies, customers, and management.
  • May occasionally travel for project support, training, inspections, or meetings.
