Accounting & Operations Coordinator
Beachway Therapy Center is a duly licensed and accredited luxury rehabilitation provider offering substance abuse and mental health treatment across the full continuum of care, from Detox through Outpatient services.
Position Summary
We are seeking an Operations & Administrative Coordinator with exceptional administrative, organizational, and technical skills to support the CEO, CFO, Accounting Department, and overall facility operations. This role is integral to the organization and includes executive support, financial assistance, and coordination of property and facility-related matters.
Responsibilities
- Provide administrative support to the CEO, CFO, and Finance Manager
- Handle phone calls, emails, and other communications with professionalism and discretion
- Perform general office tasks such as copying, scanning, and filing
- QuickBooks data entry
- Perform additional administrative and office support tasks as needed
- Assist with property management operations across multiple locations
- Coordinate routine maintenance, vendor scheduling, and service requests
- Support project management of maintenance and improvement projects
- Track work orders, vendor invoices, and completion status
- Communicate with vendors, contractors, and internal teams to ensure timely execution
Qualifications
- Previous experience in office administration or a related field
- Experience working in substance abuse and/or mental health settings preferred
- Familiarity with regulatory and accreditation requirements, including DCF, The Joint Commission, AHCA, and/or FARR audits preferred
- Working knowledge of QuickBooks Desktop/Enterprise
- Ability to prioritize, multitask, and meet deadlines
- Excellent written and verbal communication skills
- Strong attention to detail and organizational skills
- Strong proficiency in Microsoft Excel (formulas, data organization, and reporting preferred)
- Strong typing skills
- Capable of taking initiative and driving tasks to completion
